We are recruiting for a Production Administrator to join an established and successful business, supporting the smooth coordination of customer orders through its internal production and operational processes.
Working closely with the Sales Administration team, you will take the customer requirements and order information already established and translate these into clear, accurate production instructions. You'll play an important role in coordinating estimating, materials, production planning and internal departments to ensure every job is properly costed, prepared and delivered to schedule.
This is a varied, commercially focused position that combines administration, estimating, planning and internal coordination. It's ideally suited to someone who enjoys understanding how things work, working with figures and information, and making sure all the different elements of a process come together.
Key Responsibilities

Work closely with Sales Administration to understand customer requirements and translate these into accurate internal production instructions.
-
Support and coordinate the estimating process, gathering the necessary information to produce accurate and competitive estimates.
-
Liaise with internal departments, including Production, Procurement, Quality and Warehouse, to ensure all requirements are understood and actioned.
-
Review job requirements, materials, processes and production methods to ensure everything has been properly considered before work begins.
-
Prepare and process production orders, instructions and supporting documentation using the company's internal systems.
-
Maintain production schedules, planning systems and records, monitoring progress and highlighting potential delays or issues.
-
Create and maintain bills of materials (BOMs), production routings and item records, ensuring all relevant information is accurate.
-
Coordinate the preparation and approval of proofs, samples, labels and other production-related requirements.
-
Liaise with Procurement to establish material specifications, availability, costs and lead times, ensuring requirements are communicated accurately.
-
Coordinate external services and suppliers where required, obtaining costings and ensuring orders are placed and approved.
-
Provide internal teams with relevant information to support production planning, purchasing, warehousing and delivery arrangements.
-
Produce reports, forecasts and spreadsheets, maintaining accurate records throughout the production process.
-
Identify opportunities to improve processes, challenge existing ways of working and help resolve operational issues.
About You
-
Strong organisational and administrative skills, with excellent attention to detail.
-
A logical and analytical approach, with the ability to interpret information, understand requirements and work through problems.
-
Experience working with estimates, quotations, costing or production information would be advantageous.
-
The ability to coordinate multiple tasks and deadlines, ensuring information is accurate and processes are followed.
-
Confident communication skills, with the ability to build effective relationships across different internal departments.
-
Good IT skills, particularly Microsoft Office, Excel and business management systems.
-
A proactive approach, with the confidence to use your initiative, question processes and identify potential improvements.
