We are recruiting for a confident and highly organised Sales Coordinator to join the sales department of a successful and well-established company based in Bishop's Stortford. Working closely with the National Sales Manager and the wider sales management team, you will take responsibility for monitoring customer orders from the point they are entered onto the system through to completion and delivery. This is not simply an administration position. You will become the customer's representative within the business, ensuring that every department involved in fulfilling an order is communicating, progressing its part of the process and working towards the agreed delivery date. You will need to be confident speaking to people at every level of the business and comfortable chasing for information, asking questions and following up until you receive a clear answer.
The Sales Coordinator Role
Once an order has been received and processed by the Sales Administration team, you will take ownership of monitoring its progress through the business. You will liaise with departments including Sales, Purchasing, Parts, Planning, Production and Warehouse to establish exactly where each order is, whether everything required is available and whether the agreed delivery date will be achieved. Your Sales Coordinator duties will include:
Monitoring customer orders from entry through to completion and dispatch
Maintaining a clear overview of current orders, deadlines and delivery dates
Liaising closely with the National Sales Manager and wider sales management team
Working with Purchasing and Parts to confirm that the required materials and components are available
Liaising with Planning and Production to understand timescales and priorities
Checking that orders are progressing in line with customers' expectations
Identifying potential delays or problems at the earliest possible stage
Chasing departments for information, updates and action
Ensuring the sales team receives accurate and timely progress information
Escalating issues where an order may not meet its agreed delivery date
Bringing the relevant people together to resolve problems and keep orders moving
Maintaining accurate records and updating internal systems
Developing strong working relationships across every department
Taking ownership of outstanding actions and following them through to completion
Helping to improve communication between Sales and the operational areas of the business
Direct contact with end customers to discuss order status What We're Looking For in a Sales Coordinator
The successful candidate will be naturally organised, confident and persistent. You will enjoy bringing structure to a busy environment and making sure that nothing is overlooked. You must be diplomatic and professional, but also sufficiently strong-willed to challenge, chase and obtain the answers you need. You will not be someone who is easily put off or prepared to leave an issue unresolved. The ideal candidate will have:
Previous experience in order processing, order progression, sales coordination, production coordination or a similar role
Excellent organisational and prioritisation skills
A confident and proactive personality
The ability to communicate effectively with people throughout a business
The determination to chase outstanding information and achieve results
A diplomatic but firm approach
Strong attention to detail
The ability to manage several orders, priorities and deadlines simultaneously
A structured and methodical way of working
Good general IT and administration skills
The ability to identify potential problems before they affect the customer
A strong sense of ownership and personal responsibility
The confidence to work independently and use initiative Some technical knowledge or previous experience within a manufacturing, engineering, automotive, parts or product-based environment would be helpful, although this is not essential. The right personality, attitude and ability to get things done are equally important. This is an excellent opportunity for someone who enjoys being at the centre of a business, communicating with different departments and making sure that customers receive what they have been promised. You will play a key role in keeping orders on track, improving internal communication and ensuring that the sales team always has an accurate understanding of each customer's order.
