The Role
As the Sales Administrator you will play a key role in supporting the sales and pre-construction teams in the preparation and submission of accurate and timely cost estimates for multi-utility projects. This role involves gathering, managing, and coordinating project information to assist in bid development, liaising with suppliers, and ensuring adherence to tender requirements. The Sales Administrator will work closely with Sales, Estimators, Project Managers, and Procurement teams to develop competitive and comprehensive bids that align with company standards and client expectations.
Responsibilities

Update and maintain the Multi Utilities attendance register, reporting to directors and HR daily before 12pm.

Manage the connections inbox, twice a day, once before 10am and another time before 5pm. To process correspondence and control project and pricing documents, liaising with relevant team members to action accordingly, and seeking technical advice as required.

Extract information from enquiry emails sent by the Business Development Manager, ensuring information is input on to relevant trackers, creating folders, saving documents, and uploading information to Synergy system. Ensuring all enquiries are dealt with accordingly, within the MU SLAs, and all completed by 5pm every Friday.

Procure existing utility maps, sales administrator handover document, complete property schedule and calculate site demand and ADMDs, apply for points of connection for gas, water and electric, procure asset values in line with current pricing strategy.

Communicate and coordinate with clients when additional information is required, to assist the Business Development Manager with necessary client communications.

Ensure feedback on quotes, requirements, and award dates are tracked accurately, whilst overseeing and managing client correspondence.

Update project and pricing documents to ensure that all relevant information is accessible for all relevant employees.

Complete works within the Tender File, ensuring all information is mirrored on to the Synergy system. Creating temporary folders within computer drive to store daily documents, making certain, that all documents are uploaded to Synergy system by the end of every day.

Collate information daily from initial enquiry and use the Budget Quote calculator and quote template to create a budget quotation for the client. Issue to Business Development Manager, or direct to the client in the Business Development Managers’ absence.

Attend mandatory training courses as defined within the company training matrix.

Keep up to date with legislation and record ‘Continued Professional Development’ (CPD).

Extensive experience within same role, or similar within the civil engineering sector.

Qualifications & Training

A comprehensive knowledge of Microsoft Office software, especially Microsoft Word, PowerPoint, and Excel.

GCSE’s Grade 9-4 or equivalent.
