Business Support Administrator - Families (Records & Business Support)
Location: City Archives, Wolverhampton
Hours: 37 hours per week (Monday-Friday, 9:00am-5:00pm)
Contract: Up to 4 months initially, with potential for extension subject to service requirements
Working Pattern: Office-based (non-hybrid)
About the Role
We are looking for a highly organised and detail-focused Business Support Administrator to join the Families Directorate, based at the City Archives. This is an excellent opportunity for someone who thrives in a structured environment and takes pride in maintaining accurate records and delivering high-quality administrative support.
Working as part of the Business Support team, you will play a vital role in ensuring that sensitive records and information are accurately catalogued, maintained, and accessible when needed. You will support a range of administrative, financial, and records management functions while helping services operate efficiently and effectively.
This role is primarily office-based due to the nature of the work, which involves the management, organisation, and cataloguing of physical and electronic records held within the City Archives.
Key Responsibilities
Catalogue, organise, and maintain records and files in accordance with agreed procedures and retention schedules.
Ensure information is accurately recorded, indexed, and easily retrievable.
Handle sensitive and confidential information in line with GDPR, data protection legislation, and Council policies.
Support the maintenance of electronic and physical filing systems.
Input, update, and validate data across a range of databases and document management systems.
Provide administrative support to the Families Directorate and wider Business Support Units.
Respond to enquiries from colleagues, partner agencies, and members of the public in a professional and customer-focused manner.
Assist with the preparation of meetings, reports, presentations, correspondence, and documentation.
Support financial administration processes, including monitoring records and reconciling information where required.
Manage incoming and outgoing post, scanning activities, and shared mailboxes.
Contribute to service improvement initiatives and ensure all work is completed within agreed timescales.What We're Looking For
