St John's College, Durham is looking for a temporary member of staff to join their team as a Conference Associate until 31st October 2026.
JOB SUMMARY AND PURPOSE
ECLAS will host a Global Conference from 18th to 23rd September 2026 in Durham. It will bring together international team members across all strands of the project. The Conference Associate will assist with logistics and correspondence for the conference as well as administrative and secretarial tasks in project communications. Attention to detail is essential.
DUTIES AND RESPONSIBILITIES

Provide administrative support for the Durham based Communications Manager (CM) and Deputy Project Manager (DPM) before, during, and after the ECLAS Global Conference

Assist DPM in administration of the conference

Track and liaise with delegates and speakers, recording travel times, expenses, meals, and accommodation

Keep agendas, rotas, and delegate lists
-
Assist DPM in communication with St John’s College Reception, Housekeeping, Catering, and Finance

Print and distribute agendas, name badges, and other materials
-
ATTEND THE CONFERENCE at St John’s College, Durham, 18-23 Sep 2026 (9am-9pm – with planned breaks)

Assist with set up and clean up, including AV

Help direct delegates and speakers to events and accommodation

Assist CM in administration of media resources

Track and spell check submitted materials
-
Post Vimeo films to YouTube
-
Archive records for the project including agendas and minutes, reports, budgets and other project documents

Assist team members in the preparation of reimbursement paperwork

Support other ECLAS team members in project activities as needed
REQUIREMENTS
Work will be at St John’s College in Durham. Attendance at the Global Conference (18th - 23rd September 2026) is essential. (We will plan for breaks and compensatory time off.)

GCSE pass in Maths and English

Attention to detail and reliable data entry ability

Ability to work independently and exercise personal initiative

Good time management skills and ability to focus on the delivery of assigned tasks

Proficiency with MS Word, Excel, Outlook and Team

Strong English language skills, both written and oral

Previous administrative experience

Proficiency with Google Workspace (desirable)

Previous experience helping with events (desirable)

Familiarity with YouTube, X, and Bluesky (desirable)
