About the Role
We are seeking a detail-oriented, proactive and reliable office administrator assistant and Companies House compliance officer assistant, with a strong focus on Companies House compliance and office administration. You will work closely with clients and our internal teams.
This role is ideal for someone with excellent organisational skills, attention to detail, can work independently as well as part of a team with a can-do approach, the ideal candidate must have proven experience of working within an accountancy practice.
Key Responsibilities
Companies House Compliance
* Prepare and file confirmation statements checklists, file confirmation statements, deal directly with clients on changes and obtain relevant documentation; and filing any company updates
* Maintain statutory registers and company records
* Ensure timely submission of Companies House filings
* Monitor compliance deadlines and alert management of upcoming requirements
* Assist with company incorporations, changes to directors, PSCs, and registered offices
* ID Verifications for clients and PSC’s
* Assist with client on boarding and ongoing client due diligence reporting Administration Support (mostly cover for holidays, sickness and busy periods)

* Provide general administrative support to the business
* Maintain accurate records and documentation
* Handle correspondence, emails and filing systems
* Answering and making telephone calls
* Diary management
* Typing correspondence (letters and emails)
* Preparing and formatting documents (letters, engagement letters, reports)
* Updating the central client and contacts databases
* Handling incoming/outgoing post and office supplies
* Meet & Greet clients in reception
* Ad hoc general day to day office tasks and supporting the partners and accounting staff
Required Skills & Experience
* Working knowledge of Companies House requirements
* Working knowledge of an accountancy practice and the terminology
* Previous experience in an office administrator role
* Strong organisation skills with exceptional attention to detail
* Experience of using Companies House
* Excellent written and verbal communication skills, with a client-focused approach
* Ability to manage multiple deadlines and work independently in a structured manner
* At times be able to work under pressure
* Good time management and the ability to prioritise
* Confident communicator with a professional manner
* Comfortable using Microsoft Office and networked systems

* Competitive salary (depending on experience)
* 25 days holiday per year plus bank holidays; plus an additional 3 days over Christmas when the office is closed

* Full time employment – Monday to Thursday 8.30am to 5pm with 1 hour for lunch and Friday 8.30am to 4pm with half an hour for lunch
