Abatec are working on behalf of our client within the Facilities sector to recruit an experienced Executive Assistant to act as a trusted partner to the Managing Director of Operations to be their “go to” person, enabling focus on strategic priorities.
This role provides proactive, high-impact support through insight, organisation, and effective communication management, while maintaining visibility across key business activities to ensure alignment, pace, and accountability.
You will act as a trusted partner and key support to the Director, operating as an extension of leadership to enable focus on strategic priorities. Provide high-level, proactive support across operational, administrative, and business functions, ensuring effective coordination, communication, and execution of key activities.
Key Responsibilities

Serve as the primary point of contact on behalf of the Director, managing internal and external communications with professionalism and discretion

Proactively manage and prioritise the Director’s schedule, inbox, and commitments, ensuring alignment with business priorities

Prepare briefings, reports, presentations, and correspondence to support informed decision-making

Act as the Director’s “right hand,” maintaining oversight of key projects, tracking progress, and ensuring timely follow-up on actions

Coordinate cross-functional activities, ensuring alignment, accountability, and delivery across teams

Analyse data, reports, and business information to identify trends, inconsistencies, and opportunities, presenting clear and actionable insights

Support operational planning and execution, contributing to continuous improvement and efficiency across the business

Build and maintain strong relationships with stakeholders at all levels, representing the Director where appropriate

Handle confidential and sensitive information with the highest level of discretion and professionalism
