Medical Secretary / Workflow Administrator

We are looking for a dedicated, hard-working and detail-oriented individual to join our GP Practice team in a dual role as Medical Secretary / Workflow Administrator. This position plays an important role in supporting the clinical team with patient referrals, workflow management and general administrative support.
This is a great opportunity for someone who is highly organised, proactive and able to manage multiple tasks in a busy healthcare environment.
Key Responsibilities
Medical Secretarial Duties

Producing, typing and sending referrals, letters and clinical reports to secondary care, private healthcare providers and community services

Audio typing from the digital dictation system for GPs

Handling enquiries from patients, staff and external medical professionals

Monitoring the eRS (Electronic Referral System) worklist for advice and guidance responses, rejections and redirections

Processing rejected referrals and responding to queries from patients and hospitals

Coordinating with hospital departments to ensure urgent or missing results are followed up

Completing medical examiner referrals and Coroner reports where required

Receiving and responding to emails
Workflow & Administrative Duties

Actioning and triaging letters within Workflow

Scanning documents into Workflow and maintaining accurate records

Updating patient records and adding relevant clinical codes

Creating and maintaining Workflow templates

Processing practice emails and linking them to patient records

Highlighting safeguarding concerns and liaising with clinical and non-clinical safeguarding leads

Supporting the clinical team with general administrative tasks

Managing invoicing where required
Requirements
-
Knowledge of medical terminology preferred

Strong IT skills, including Microsoft Word and Excel

Experience using electronic patient record systems (experience with SystmOne is desirable)

Excellent organisation and attention to detail

Ability to manage sensitive patient information confidentially

Strong communication skills and the ability to work collaboratively within a healthcare team

Ability to prioritise tasks and work effectively in a busy practice environment
