Duties will include
Receiving and responding to initial spares enquiries as requested by the Spares / Stores Manager, assisting in identifying and confirming the parts that are required, using drawings and or photos as required
Creating quotations as required for the parts by checking up to date costs with the Company's suppliers including delivery charges
Generating works order sheets for the orders placed by the customer and confirm the order back to the customer via an order acknowledgment
Creating parts request lists and the relevant paperwork in order for the parts to be purchased or issued to manufacture
Liaising with sub-contract companies, suppliers, in-house manufacturing and the purchasing department to ensure that deadlines and timescales are achieved
Checking orders are on time and in full for all parts or assemblies, generating dispatch notes and organising the delivery as required
Liaising with the accounts department to ensure that the amount and details to be invoiced are correct
Using Sage 200 to generate enquiries, order acknowledgements, purchase orders and delivery notes
Promote spare parts with customers including site visits for face to face meetings
Inventory Control; receiving, checking, counting, and tracking deliveries for damages and accuracy against orders
Storage & Organization; placing inventory in correct locations, and keeping the warehouse clean
Dispatch & Issuing; picking items, packing, preparing goods for dispatch, issuing materials to departments
Documentation & Administration; updating inventory systems, handling invoices, documenting shortages or discrepancies
Safety & Maintenance; operating warehouse machinery (e.g., forklift, pallet jack) safely and adhering to Health and Safety regulations
The Spares / Stores Assistant will assist in any duties within the spares process to ensure we provide an efficient service to our customers, those duties will be allocated by the Spares / Stores Manager
The Spares / Stores Assistant will also assist in any duties within the stores process to ensure efficient goods-in and goods-out within the business to ensure efficient operation of stores. This will be working alongside the stores operative, and key people within the business who require stock items to be issued to them
