Project Administrator

Hours: 18 hours per week (9 hours per day, with potential flexibility on days Monday through Friday)Salary: Competitive (based on experience)
Role Overview
The Project Administrator will provide administrative support to the Northern team and assist with the running of the office, with an initial focus on O&M Manual requirements. The role involves document control on large-scale projects, general administration, coordination of meetings, minute-taking, and a range of project support tasks to ensure smooth operations and compliance.
Key Responsibilities

Act as document controller on large-scale projects, providing additional support to project teams

Perform general administrative duties, including paperwork, filing, placing orders, and expenses

Co-ordinate and schedule team meetings and take minutes for both client and internal meetings

Track project progress using NetSuite, Procore, and departmental trackers

Create and raise purchase orders for materials, labour supply, and hire equipment

Take ownership of client, sub-contractor, and visitor queries, ensuring resolution

Organise job folders and ensure all project documents are accessible and correctly filed

Support the compilation of presentations, reports, and general document creation, including O&M Manuals

Manage office operations, including stationery stock, weekly labour sheet tracking, and department expenses reporting/reconciliation

Assist with supplier onboarding, inducting new starters, planning events, and booking travel/accommodation for the team
Requirements

Competent with all Microsoft programmes

Previous experience working within a construction business (ideally with exposure to project commercials and O&M manuals)
