Key Tasks & Responsibilities:
As a Personal Assistant, your role will be essential in supporting the Executive Assistant and the broader team. Your responsibilities will include:
Assisting with administrative duties and projects as required.
Providing clerical support to brokers both in London and overseas.
Administering signatures for Charter Parties and other documentation.
Coordinating meetings and appointments with precision.
Taking accurate notes during meetings.
Maintaining the Company address book.
Supporting the planning and execution of company events, including possible overseas travel.
Liaising with clients and suppliers in a friendly and professional manner.
Coordinating travel arrangements and documentation for brokers.
Greeting visiting clients and managing front-of-house duties.
Pre-booking meeting rooms and refreshments.
Arranging courier dispatches and receipts.
Providing ad hoc support to the Office Manager as needed.Essential Skills:
Strong attention to detail and problem-solving abilities.
Excellent written and verbal communication skills.
Outstanding organisational and time-management skills.
Proficiency in office software packages.Personal Attributes and Experience:
Previous administrative or assistant experience is a must!
Experience with event coordination is a must!
Discreet, trustworthy, and able to work independently.
Self-motivated with a drive to succeed.
Positive, proactive mentality with a willingness to learn.
Flexible and adaptable to new challenges.
