Job Title: Transport Team Administrator
Department: Transport Hub
Reports to: Operations Manager
Location: Ealing, West London (2 days office / 3 days remote once trained)
Hourly rate £22.02 PAYE / £29.30 Umbrella
Contract Length: 3-month contract (possibility of extension)
Working Pattern: Full Time, Monday - Friday, 35 hours

Purpose of the Role
To provide high‑quality administrative support to the Transport Hub, ensuring accurate data management, efficient coordination of documentation and processes, and effective communication with internal and external stakeholders. The role supports the smooth functioning of travel assistance services for children and adults with additional needs.
A background or understanding of adult social care or supporting vulnerable clients is highly desirable.
Key Responsibilities (Admin‑Focused)
Data, Records & Documentation
Maintain accurate electronic records, ensuring all transport‑related data, schedules, and updates are current and reliable.
Assist in producing, updating and distributing travel schedules, route information and handover documents.
Support the creation, review and tracking of risk assessments, ensuring all documentation is filed, updated and acknowledged by relevant staff/providers.
Assist with contract‑related administration including recording provider activity and compliance information.Administrative Support
Support the day‑to‑day administrative functions of the Transport Hub, including diary coordination, inbox management and information collation.
Prepare reports, management information, performance data and statistical summaries using internal IT systems.
Handle financial administration such as purchase orders and invoice processing.
Assist in maintaining and improving administrative systems, workflows and databases.Customer & Stakeholder Communication
Act as a first point of contact for enquiries from parents/carers, schools, social care teams, service providers and internal departments.
Provide high‑quality customer service, managing challenging conversations and escalating issues when needed.
Support the coordination of communications with Passenger Assistants and contracted providers.Support to the Transport Operations Team
Provide admin support relating to staff management processes (e.g., absence forms, paperwork, training records).
Assist with onboarding, recruitment administration and compliance checks for Passenger Assistants and contractors.
Help organise training events, meetings, induction sessions and updates for staff and stakeholders.
Desirable Knowledge & Experience
Experience working in adult or children's social care, or with vulnerable groups, including an understanding of safeguarding principles.
Experience with processing invoices
Strong administrative background with the ability to manage multiple tasks, prioritise deadlines and maintain attention to detail.
Effective communication skills, both written and verbal.
Confidence using IT systems, including databases, Word and Excel.
Experience supporting service delivery, contract administration or compliance processes is beneficial.
