Job Role: Senior Course Administrator – Functional Skills

Role Overview
We are seeking an organised, proactive, and detail‑driven Senior Course Administrator to support the delivery of our Functional Skills training programmes. Based full‑time in our Brighton office, you will play a key role in ensuring smooth day‑to‑day operations across our Functional Skills courses.
You will manage and oversee core administrative processes such as learner onboarding, exam coordination, room and course bookings, eligibility checks, certification workflows, and data compliance. This role is central to maintaining high-quality learner experiences and ensuring full compliance with funding and awarding‑body requirements.
This position is ideal for an experienced administrator seeking a step up into a senior role within a growing, fast‑paced training provider.
Key Responsibilities
Administration & Compliance
Lead on administrative processes for Functional Skills programmes, ensuring full compliance with funding rules and awarding‑body regulations.
Oversee and manage eligibility checks, learner documentation, and onboarding processes.
Maintain accurate learner records across multiple internal and external systems.
Support audit readiness by ensuring all documentation is complete, compliant, and up to date. Exam Coordination
Act as the lead contact for Functional Skills exams, coordinating booking, scheduling, invigilation arrangements, and maintaining exam registers.
Liaise with awarding bodies to register learners, upload evidence, and process results.
Ensure certificates are requested, tracked, and distributed promptly and accurately. Course Delivery Support
Manage room bookings, timetables, and course schedules to ensure effective delivery across all programmes.
Provide administrative support to tutors and delivery teams, ensuring they have the resources and information they need.
Coordinate learner enrolments, registrations, attendance monitoring, and progression tracking. Stakeholder Engagement
Act as a central point of contact for internal teams, learners, external partners, and awarding bodies.
Maintain strong relationships with key stakeholders, providing timely updates and resolving queries efficiently. Reporting & Documentation
Produce reports on learner attendance, achievement, progression, and completions.
Support management with data analysis, performance reporting, and compliance documentation. Operational Support
Assist in scheduling training sessions, exams, assessments, and learner touchpoints.
Support marketing and learner engagement activities with relevant administrative tasks.
Contribute to continuous improvement by reviewing admin processes and recommending enhancements.
Essential Skills & Experience
Proven experience in an administration role within education, training, apprenticeships, or similar.
Strong organisational and time‑management skills, with the ability to juggle multiple priorities in a fast‑paced environment.
Experience coordinating exams, assessments, or qualification processes (desirable but not essential).
Excellent communication skills, both written and verbal.
High attention to detail with experience managing large volumes of data accurately.
Confident using Microsoft Office (Excel, Word, Outlook) and digital administrative systems.
Understanding of government‑funded training programmes and compliance requirements (AEB/ASF or similar) is highly desirable.
Desirable
Experience in a training provider, college, or awarding‑body administration team.
Knowledge of quality assurance processes, audits, and compliance frameworks.
Experience supporting Functional Skills or vocational learning programmes.
