Anderson Knight is recruiting an Asset & PPM Administrator on behalf of our client, a well-established facilities management business based in Glasgow.
This role is critical in supporting the effective administration of Asset Management and Planned Preventative Maintenance (PPM) activity across a large retail estate. Acting as a specialist within Asset and Hard Services Planned Maintenance, you will ensure all assets and maintenance programmes are compliant, accurate and aligned to both statutory and industry best practice.

Salary: £24,969
Hours: 37.5 hours per week, Monday to Friday, either 8am-4pm or 9am-5pm
Key Responsibilities:
• Provide technical knowledge of Asset Management and Planned Preventative Maintenance.
• Maintain the Asda asset database and PPM system, ensuring all assets hold key information to support warranty and lifecycle cost (LCC) programmes.
• Take a lead role in maintaining the asset model and warranty libraries.
• Extract and update asset model and warranty data from customer systems.
• Maintain asset warranty guarantees and update the automated warranty system.
• Ensure all assets have a current, compliant maintenance programme aligned to SFG20 standards.
• Produce analytical reports on asset variances using data warehouse reporting tools.
• Monitor daily asset changes, additions and disposals made via the asset app.
• Liaise with Managed Contracts and Group Procurement teams to ensure all third-party maintained assets have planned PPM schedules and certification uploaded.
• Work with field operatives and internal teams to maintain the accuracy of asset data.
• Ensure all assets hold valid certification and escalate any compliance or process gaps.
• Ensure operational teams follow all asset and PPM processes and procedures.
• Maintain compliance with legislative and industry best practice (SFG20).
• Escalate and flag any non-compliance or data discrepancies to the Asset & PPM Manager.
Key Attributes and Skills:
• Experience of Hard Services Planned Maintenance to SFG20 standards.
• Strong understanding of Planned Maintenance and Asset Management principles.
• Previous experience within a facilities management or maintenance environment.
• Excellent organisational and time management skills.
• Ability to take ownership and accountability for work.
• Proactive problem solver, able to work independently or within a team.
• Able to work under pressure with a high level of accuracy and attention to detail.
• Strong communication and stakeholder management skills.
• Positive, motivated attitude with the ability to influence and lead by example.
• Educated to GCSE level (including Maths, English & Science) with Level 3 or 4 qualifications in a relevant subject preferred.
• PC literate with good working knowledge of Microsoft Office and CAFM systems.
