The GOC registers over 34,000 optometrists, dispensing opticians, optical business and optical students. We protect the public by promoting high standards of education, conduct and performance among our registrants.
Job purpose
We are looking for a Legal Administrator to provide administrative support to the GOC's Central Legal Team.
The role will proactively support the Regulatory Operations Directorate and participate in the development and maintenance of administrative systems according to team aims and objectives.
The Regulatory Operations directorate comprises five departments: FTP Investigations, FTP Case Progression, FTP Hearings, FTP Legal and Central Legal.
The Central Legal department includes a Central Lawyer and an Administrator. We provide cross-organisational legal advice, and we manage illegal practice cases and hearings before the GOC's Registration Appeals Committee (restorations and registration appeals).
Currently, staff mostly work remotely but this role requires some office-based work
KEY ACCOUNTABILITIES
Provide broad administrative support e.g. making/receiving telephone calls and attendance notes, creating digital/ paper bundles and making redactions
Manage the team’s shared mailboxes, e.g. responding, forwarding, logging and deleting emails in accordance with team processes
Communicate with internal and external customers and stakeholders, including by providing or obtaining information relevant to our functions and procedures
Assist the team’s lawyers with all aspects of their work, e.g. by identifying templates, doing desktop research, drafting presentations, and proof-reading documents
Send standard correspondence using templates, and draft more complex communications for lawyers to review
Create SharePoint folders and accurately file communications and documents
Log documents and key events using files (e.g. spreadsheets) and electronic case management systems, and use these to produce statistical data as required
Provide equivalent administrative support to the organisation, as required
ESSENTIAL SKILLS/ EXPERIENCE/ QUALIFICATIONS
A high standard of literacy and numeracy
Good Microsoft Office and equivalent skills including Word, PowerPoint, PDF and Excel
Excellent organisational skills with high attention to detail
Proactive attitude with good problem-solving skills
Team player able to work well with peers as well as senior team members

Routine tasks are planned and executed in a calm and methodical manner
Work is managed with in a timely way, letters and documents are prepared and sent in accordance with targets, requiring minimal prompting

Routine letters are drafted to a high standard and rarely require significant changes
Administrative tasks e.g. filing, logging, redaction and collation are completed accurately
