Our Client is a leading, long-established Trust and Corporate Service Provider, with sustainability at its core, that stands out in a crowded marketplace to deliver sustainable excellence. Their IOM office is seeking an additional Administrator to join the Trust & Corporate team due to an internal promotion.
As Trust and Company Administrator you will be responsible for providing exceptional client administration for a portfolio of complex client trust and corporate structures. Key responsibilities include:
- General administration and support for a portfolio of entities including (but not be limited to); e-mail and telephone correspondence with clients and intermediaries; research and document recording; preparation of minutes and transactional documents for presentation at internal and external meetings; arranging payments; assisting the accounts and bookkeeping team with any unclarified items or queries
- Maintaining and building good relationships with clients and intermediaries through quality service
- Responding to all client communications within 24 hours where possible (including holding replies)
- Preparation for attendance at client meetings and preparation of post meeting file notes and board minutes when required
- Assisting with client onboarding for new and transferring in business
- Assisting with the completion of terminations and transfer outs
- Assisting with the process of raising, sending out and collection of fees due to the business on a timely basis
- Understanding of the debtors' process to ensure any potential problems are highlighted to line manager or Director
- Maintaining and updating knowledge of the external regulatory framework and internal procedures together with demonstrating correct implementation
- Obtaining updated client due diligence where necessary for existing portfolio within a reasonable timeframe of becoming non-compliant
- Completing assigned allocation of Periodic Reviews as required
- Complete and input time in the time billing system on a daily basis
The ideal candidate for the role of Trust and Company Administrator will haveL
- Minimum 5 GCSE's (or equivalent) with English & Mathematics at Grade C / 4 or above
- Minimum of 1 years' experience in an administrative role ideally within Fiduciary Services
- Open to undertaking a relevant professional qualification e.g. STEP, ICSA, ACCA
- Basic understanding of fiduciary services business including the regulatory requirements
- Good IT skills, including practical experience of Microsoft Outlook, Word and Excel
- Good written and verbal communication skills
- Ability to work accurately with good attention to detail
- A flexible attitude towards work and a willingness to assist other members of the team as required
- Good time management, prioritisation and organisational skills
- Demonstrate drive, ambition & willingness to learn
- A proactive approach to work & the ability to work under own initiative
