The service you will work in….
This role will manage the day to day running of the CEO's office. Reporting to the Head of CEO's Office, this role will provide proactive organisational and administrative support, develop and manage reporting systems and processes, coordinate effective flow of communications and execute projects as agreed.
A day in this role looks like….
As a Business Support Managerat Hestia, you will play a crucial role in our Central Service.Your contributions will directly influence the lives of our service users, guiding them towards a path of empowerment and independence.
A day will never look the same and some of the things you can expect to do/be responsible for are:
- Develop, implement and continuously improve management reporting systems and structures.
- Work with identified people to receive regular and timely reporting as required within agreed deadlines.
- Analyse information and draft reports to produce timely management information, bring attention and develop monitoring schedules to identify early warning signs that goals are off track.
- Develop, implement and manage processes to identify key external and internal communications which require the oversight and input of the Head of Chief Executive's Office.
- Provide briefing documents to the Head of the CEO's Office, drafting as required, ahead of critical meetings for the Executive Directorship and in response to current events, both internal and external, including debates and developments related to Hestia's work.
- Support the Chief Executive and Head of Chief Executive's Office in the co-ordination and processing of information including maintenance of all records on Governance.
- Liaise and disseminate communications on behalf of the Head of the Chief Executive's Office and Chief Executive, communicating successes internally to support innovation and culture change.
- Research and provide information on a variety of matters as requested by the Head of Chief Executive's Office.
- Represent Hestia and support the Executive Directorship with external and internal engagements.
- Work alongside the Head of the CEO's Office to manage the internal running of the Chief Executive's office, ensuring the effective flow of communications in and out.
- To line manage the Executive Office Coordinator and other roles as appropriate.
- To have a broad and detailed understanding of the organisation's structure in order to respond to queries or complaints, dealing with issues and drafting responses on behalf of the Head of the Chief Executive's Office.
- Liaise with departments as required to execute agreed tasks.
- Support with the preparation of meeting papers and attend regular meetings to take minutes, develop and maintain action logs, ensure completion according to agreed work plans and schedules.
- Track and maintain financial documentation to support the management of the budget of the CEO Office.
- Deliver all tasks within their own delivery plan to achieve agreed performance.
