Job Purpose
Ensure liaison between customer and various AGL agencies. Ensure all queries and requests are resolved timeously.
Job Function
- Successfully supervise the operations team and give guidance on daily operational issues with assistance from the manager.
- Work closely with the Control Tower team and monitor all current shipments for Chemonics, RTK and potential new client.
- Daily check on file issues with each controller.
- Liaise between the customer and AGL origin/destination teams to ensure all discrepancies are resolved and/or necessary corrective actions are implemented and communicated.
- Ensure new shipments are actioned/acknowledged by the relevant controller.
- Manage shipments from A to Z for your lane assigned and take full ownership of daily operations.
- EDI; trigger the transport request and input events for all shipments.
- Booking confirmation – respond within 2 business days of receiving a booking request & send booking summary to Chemonics.
- Booking/space issues should be reported in the event of capacity, driver, or equipment adhere to cargo receipt timelines as per SOP.
- B/L or AWB Instructions must be emailed to shipper.
- Communicate shipping confirmation to all parties.
- Ensure accurate communication of post-departure status updates.
- Follow up on exception reporting in line with relevant SOP.
- Regularly follow up on waiver process/late invoicing.
- Track exception events reporting in line with SLA such as any operational service issues, additional charges, etc.
- Keep track and communicate issues related to customs holds, exams, and any other condition that prevents goods from being cleared for pick up.
- Notify clients on the same day once customs or compliance-related issues are identified.
- Regularly track and action issues on all shipments that are about to exceed free time allowances requiring reporting on demurrage/detention/port storage alert.
- Ensure constant and accurate identification and communication of circumstances that could lead to claims - Includes temperature breach, broken seals, accidents, etc.
- Follow up on any charges or fees for services not previously agreed in writing between GHSC-PSM and the 3PL.
- Assist and support operations when action should be taken with the client (escalation).
- Report any operational issues that require escalation and/or to help drive continuous improvement to Manager.
- Work with program management and US-based Contract Manager to prepare the QBR report on an ad hoc basis.
- Allocate new business/lanes to controllers and ensure clear understanding of scope of work.
- Send daily manual tracker & EDI report to Chemonics as well as ensuring the exception logbook EDI is updated.
- Provide weekly feedback to Chemonics on AGL EDI performance (missing FCR, POD & data validation issues).
- Monthly score card review investigation & client feedback.
- Maintain update on various spreadsheet (quote, NCR, claims, invoice hand over spreadsheet etc).
- Acknowledge receipt & provide timely feedback on the NCR & claim investigation/issues.
- Maintain service levels with subcontractors / AGL Network.
- Control of internal processes and procedures.
- Update the work instruction and SOP in place for the department (Chemonics guide, Country Manager assignment list etc).
- Ensure that deadlines and procedures are adhered to.
- Standardise formats for files, documentation Template.
- Ensure all controllers work according to their Job Descriptions/daily functions.
- Ensuring that all files' documents are in E-Docs.
- Assist to maintain good service levels and good revenue margins as per the contract rates/estimates and write-offs/errors are kept to the minimum.
- Supervise the invoice and cost control process in line with the relevant SOP.
- Assist to follow up on outstanding elements for invoicing.
- Weekly review of Invoice Chemonics schedule to ensure the team are timeously handing over invoice to Chemonics Administration Controller & assist the team on resolving queries.
- Any other delegated tasks deemed as reasonable as assigned by the reporting manager.
Minimum Education and Experience Requirements
- Matric
- 5 years' experience in freight forwarding covering import/export and cross trade for air, road and sea cargo
- Experience in Pharmaceutical temperature control goods
- Previous supervisory experience advantageous
