Part-Time Administrator position, Thame, salary £24000 FTE

A well established organisation based in Thame are seeking an Administrator to join them.
Your new role
As the Administrator, you will be responsible for:
- Answer the telephone in a positive manner, dealing with calls where possible or directing callers to the correct person, taking clear and accurate messages as necessary.
- Assist with all aspects of the administration of policies issued to the members of the scheme on a day-to-day basis.
- Provide, in a timely and positive manner, clear and accurate advice and assistance via the telephone, email and written correspondence. This includes but is not limited to transferring calls as appropriate, sending out forms, and explaining procedures.
- Identify any matters of complexity, import or concern and refer them to a Senior Officer or the CEO where necessary in a timely manner.
- Take minutes of internal meetings, ensure they are approved by the CEO and circulated in a timely manner.
- Assist in ensuring that all electronic and paper record keeping systems relating to the administration of the schemes and the finance department are kept accurate and up to date, and that all records are promptly filed as appropriate.
- Assist in producing and/or updating procedure manuals, risk management advice and training materials as necessary.
- Assist in managing and reconciling the receipt of payments from policyholders, including Direct Debit collections and Credit Control processes.
- Assist in the reconciliation of company bank accounts.
- Assist in the processing of payments, including maintaining petty cash & processing expense claims.
- Be responsible for sorting through and distributing the daily post and franking and taking outgoing post to the Post Office.
- Provide general assistance as required and undertake other ad hoc duties that may arise.
This role is fully office based, and full training will be provided.
What you'll need to succeed In order to be successful in applying for the position of Administrator, you will:
- Be sympathetic to and have an understanding of the organisation and its culture.
- Have a minimum of 2 years' administrative experience
- Be educated to at least A-Level.
- Have sound written and verbal communication skills, including an excellent telephone manner and the confidence to deal effectively with a range of external contacts.
- Have very high professional standards of work, including a consistent attention to detail, complete reliability and accuracy, and a constant commitment to excellence.
- Have access to confidential information, requiring absolute discretion at all times.
- Demonstrate a high level of ability to organise and prioritise work, particularly in order to meet deadlines.
- Have a proficient knowledge of IT and of Xero or other accounting software ideally, as well as a good working knowledge of standard Microsoft Office software.
