This position is critical to the ministry of Sky Ranch and contributes directly to our mission of leading youth and families to know and follow Christ. The Retail and Retreat Coordinator oversees and manages all the Sky Ranch retail outlets located at the Cave Springs facility and supports the ministries of Sky Ranch by providing an excellent and safe experience for all retreat guests in a God-honoring and professional manner. Additionally, this position serves in a sales role, booking new retreats for current and new guests.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Retail:
- Oversee all aspects of retail at Cave Springs including the Wagon Wheel camp store and vending machines.
- Provide direction and supervision of part-time staff.
- Learn and implement industry standard customer service techniques and expectations.
- Conduct regular meetings with store staff to ensure guests are adequately served while visiting; continually training staff on having the ability to offer excellent customer service; product knowledge; cleanliness; and point-of-sale system operational skills.
- Determine weekly schedule for summer staff employee through coordination with Cave Springs program managers to set and maintain retail hours that will serve guests adequately and effectively.
- Conduct bank deposits and daily cash balances.
- Oversee completion of daily opening and closing procedures checklist. Ensure merchandise is organized and displayed in a professional and appealing manner. Arrange merchandise displays, rotating and rearranging as necessary to create an inviting environment for guests.
- Oversee individual pay activities in the store.
- Maintain awareness of retail's daily gross sales and profitability, operate store to remain within sales and expense budgets.
- Prepare and approve Purchase Order requisitions for inventory and supply purchases related to retail.
- Retreat:
- Host guest groups on a rotating schedule with other retreat coordinators.
- Work with retreat group leaders and their guests to exceed expectations of Sky Ranch. Performance is satisfactory when:
- Greet and host guest groups attending retreats and conferences.
- Serve guests in a manner that reflects their importance to us, respectfully and eagerly seeking to meet their needs.
- Assist in transporting guests with people movers as needed.
- Bring to attention any situation where we fail to satisfactorily serve a guest to Camp Director and discuss accordingly. An attempt will be made to resolve the problem, design a system that prevents recurrence, and offer an apology and/or a refund.
- Work directly with group leaders and potential customers through face-to-face meetings, phone calls, tours, and emails.
- Make sure all departments are well informed and running efficiently.
- Manage meeting room setup for groups.
- Evaluate the guest’s total experience at Sky Ranch. Summer: Assist in the hiring of summer staff. Assist in planning for summer including schedules, trainings, and providing information to incoming staff. Assist in the management of summer staff and supporting them throughout the summer.
OTHER DUTIES AND RESPONSIBILITIES
- Maintain compliance with Sky Ranch’s employee policies and procedures.
- Maintain compliance with all state and federal laws and regulatory requirements, including Oklahoma Department of Health, ACA, and OSHCOM regulations and guidelines.
- Perform other duties as required.
QUALIFICATIONS:
EDUCATION
- College degree preferred.
EXPERIENCE
- Three years of related experience in camp ministry preferred.
KNOWLEDGE
- In-depth understanding of customer-service through retail and/or sales experience.
- In-depth understanding of the field of retreats and camping.
- Knowledge of principles and processes for providing excellent customer service. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
- Proficient working knowledge and ability to use various office software including, but not limited to, Microsoft Word, Excel, Outlook.
- Basic internet and social media skills.

PHYSICAL DEMANDS
- Ability to grasp, push, pull, carry, or otherwise manipulate objects; ability to perform tasks requiring action of muscles or groups of muscles and foot and/or hand-eye coordination, including reaching, bending and stooping frequently.
- Requires some physical agility, including but not limited to bending for items below or reaching for items above the individual; crawling under desks; stooping, and climbing step stools or ladders.
- Much physical effort required on a routine basis; ability to use up to 20 pounds of force frequently, and 50 pounds occasionally.
WORK ENVIRONMENT
- Works indoors in normal office environment about half of the time. However, must be able to stand long-term and walk long distances as necessary to cover retail shifts. Works outdoors the other time.
- Very limited exposure to physical risk. Hazards may include, but are not limited to, slipping and tripping.
- Must be able to work flexible hours, including nights and some weekends.
- Must be able to drive a car and golf cart.
