Responsibilities
To ensure that customer service levels are always maintained in ensuring accurate cargo information i.e., cargo identification, date receiving/received/dispatching/dispatched, times, custom bond details/entries, freight tons, damages, photos, inventory reports and or stock movements are accurately and timorously captured and forwarded to the customers and supporting the warehouse operation function.
Key Duties
- Timorously advise the warehouse operation of all warehouse and value add activities each day.
- Liaise with customers in reference to shipments.
- Resolve any query within the anticipated time frame.
- Check the correct cargo is received or dispatched as per the customer's instructions, entries, and SOP's.
- Accurately capture, file, and produce reports on cargo information, freight tons, total count, date, time, customs bond/entry details, dwell days and customer/transporter details.
- Reconcile all physical stock counts per shipment to the theoretical stock and advise the warehouse if there are any discrepancies.
- Complete weekly GM Forecast / Submit all Monthly Invoices.
- Accurate and on time updating of WMS System ensuring all transactions completed as per SOP.
- Provide the required and correct info first time to ensure accurate invoicing.
- Work according to set company procedures, SOPs, customs regulations, and safety standards to maintain and or improve customer service levels and productivity.
- Any other delegated tasks deemed as reasonable as assigned by the reporting manager.
Education and Experience Requirements
- Matric (Grade 12).
- Relevant Course Qualification.
- Minimum 3 years' experience in warehousing administration/stock control/Bond store.
- Warehousing operations experience will be an added benefit.
- Theoretical inventory control accuracy.
- Company/customer SOP's and ensuring their effectiveness.
- Understanding all instructions from internal and external customers whether verbal or through e-mails and being able to effectively process this into action to obtain a required result.
- The ability to ensure the customer receives a comprehensive and accurate invoice first time as per company/customer SOPs.
- Internal sales and the ability in being able to open and close additional sales by telephone/e-mails.
- Effective communications.
- Understanding the software system and the accurate capturing of the correct info into this system.
