The Quoting Specialist in the Major Accounts Department is responsible for preparing, managing, and finalizing accurate and competitive quotes for key client accounts. This role ensures all quotations align with company standards, client requirements, and industry best practices. The Quoting Specialist serves as a critical link between sales, operations, and clients, contributing to revenue growth and customer satisfaction by delivering efficient and professional quoting services.
Experience and Minimum Requirements
- A qualification in Business Administration, Sales, or a related field is advantageous.
- Minimum of 3 years of experience in a quoting, pricing, or administrative role, preferably within the forklift or equipment services industry.
- Strong attention to detail and accuracy in pricing and documentation.
- Proficiency in Microsoft Office Suite, especially Excel, and familiarity with CRM or ERP systems.
- Excellent written and verbal communication skills.
- Ability to work under pressure and manage multiple tasks simultaneously.
- Strong analytical and problem-solving skills.
Basic Duties and Responsibilities
Quotation Preparation :
- Create detailed and accurate quotes based on client inquiries, service requirements, and pricing structures.
- Analyse customer specifications, equipment needs, and service contracts to develop competitive proposals.
- Ensure all quotes comply with company policies, client agreements, and regulatory standards.
Client Engagement :
- Work closely with the Major Accounts sales team to understand client needs and tailor quotes accordingly.
- Communicate with clients to clarify requirements and address inquiries related to quotations.
- Follow up with clients on outstanding quotes to secure approvals and identify any potential concerns.
Coordination and Collaboration :
- Collaborate with internal departments, such as operations and procurement, to gather necessary information for quotes.
- Liaise with suppliers or partners to ensure accurate costing for third-party services or equipment.
- Provide support to account managers by supplying relevant information and updates on quotes.
Reporting and Record-Keeping :
- Maintain organised records of all quotes, revisions, and approvals for tracking and audit purposes.
- Generate reports on quotation activities, conversion rates, and client feedback for management review.
- Monitor trends in client needs and market pricing to provide insights for strategy development.
Process Improvement :
- Review and optimize quoting processes to enhance efficiency and accuracy.
- Ensure compliance with company procedures while suggesting innovations to improve response times.
- Tracking of any parts on order and provide weekly feedback to the team.
