Billing Clerk
Job Summary: As a Billing Clerk at Buffalo International Logistics, you will be responsible for accurately processing and invoicing shipments and services provided by the company. Your primary objective will be to ensure timely and precise billing to maintain smooth financial operations and customer satisfaction.
Responsibilities:
- Billing and Invoicing:
- Generate accurate and timely invoices for Deliveries and Collections,
- Verify billing information, rates, and supporting documents for completeness and accuracy before invoicing.
- Data Entry and Record Keeping:
- Enter billing data into the company’s billing system or software with attention to detail and accuracy.
- Maintain organized records of invoices, billing statements, and other relevant documentation.
- Documentation and Compliance:
- Ensure compliance with company policies, procedures, and regulatory requirements related to billing and invoicing.
- Assist in preparing documentation for audits and provide necessary information to auditors as required.
- Reporting and Analysis:
- Prepare regular reports on billing activities and recon
- Analyze billing trends and recommend process improvements to enhance efficiency and accuracy.
- Team Collaboration:
- Collaborate with colleagues in the finance, operations, and sales departments to facilitate billing processes and resolve billing-related issues.
- Problem Solving:
- Investigate and resolve billing discrepancies or disputes in a timely manner to maintain positive customer relationships and financial integrity.
- Ad Hoc Tasks:
- Assist with other administrative tasks or projects within the billing department or as assigned by the supervisor.
Qualifications:
- Proven experience as a Billing Clerk, preferably in a logistics or transportation company.
- Proficiency in MS Office, particularly Excel, and experience with billing software or Sage systems.
- National diploma/Degree in Finance.
- Strong attention to detail and accuracy in data entry and billing processes.
- Excellent organizational and time management skills with the ability to prioritize tasks effectively.
- Strong communication skills and the ability to interact professionally with customers and colleagues.
- Knowledge of billing practices, procedures, and regulations in logistics or similar industries is preferred.
- High school diploma or equivalent; additional certification in Accounting or related field is a plus.
