Furthermore, to deliver Business value and reduce operational costs, cycle times, improve productivity, and ensure process compliance through process performance monitoring. This role will involve close collaboration with various departments to analyze workflows, map processes, identify inefficiencies, and implement process improvements. The incumbent will be responsible for work measurement, data collection, and analysis to review and revise standard times to influence the optimal utilization of resources. Support Business Process Engineers in creating high-quality and cost-effective process solutions through process design, documentation, process modeling, process improvement, and implementation. WHAT WILL YOU DO? Business Process Mapping and Documentation Utilize relevant tools (e.g. Visio, PowerPoint, Excel, etc.) to identify, define, and document the existing and new operational methods and processes to increase efficiencies, reduce costs, and contribute to revenue opportunities Interact with product and business owners to conduct business process needs analysis to understand process requirements, inputs, handoffs, and outputs of the processes Facilitate process design workshops with participants from processing areas and process owners Map the processes using RMAs approved mapping standards (BPMN), including facilitating, designing, and documenting process decomposition diagrams, and defining and documenting processes to cover the total lifecycle of the product or service covered Review process maps to ensure that all regulatory, compliance, and operational risk control elements are incorporated and highlighted Ensure all mapped processes and SOPs are published in the BPM repository (ARIS) approved published operating documentation Assess the process risk and potential impact of any process changes requested and highlight the risks to the process owners, identify system catalogue and data requirements that need to be altered to integrate the business solution, and highlight issues to the process owners Interact with Risk and Compliance to ensure that new processes and process changes meet control requirements Create and maintain a centralized repository of processes and related artifacts (e.g., procedures, templates, forms) Ensure all processes comply with industry (BPMN) specific standards - Conduct gap analyses and implement action plans to bridge any gaps Conduct detailed analysis and evaluation of existing processes, identifying areas for improvement and recommending appropriate solutions Collaborate with Operations, Customer Servicing, and Quality Assurance teams to develop and implement standard operating procedures (SOPs) Lead process validation activities, including protocol development, execution, and documentation, ensuring compliance with regulatory requirements Understand end-to-end processes relevant to the business area to identify bottlenecks, risks, as well as improvement opportunities Execute high-quality process design work within a project, solving process inefficiencies and pain points; and delivering on agreed outputs in a timely manner. Process Improvement Implementation Develop, implement, and promote a continuous improvement culture within the organization Deliver continuous incremental improvements in process efficiencies and process rigor, that both improve the quality of delivery and reduce cost.Identify the impact of process changes on job descriptions of staff that execute the work within the processes and recommend training requirements to bridge the gap Workflow management and improvement Design and implement process improvement strategies to enhance efficiency, reduce cycle time, and improve product quality Monitor and analyze process performance metrics, such as cycle time, productivity, and process non-conformance, and develop strategies to meet or exceed targets Identify and implement process control measures, including statistical process control (SPC) techniques, to ensure consistent quality and reduce process variation Maintain alignment with QA to identify where deviation from SOP has taken place, and conduct root-cause analysis, to propose training requirements where necessary, for continual improvement Conduct regular audits to ensure compliance with established standards and procedures. Work Measurement, Data Collection and Analysis Conduct time studies and gather data on production processes to determine the most efficient methods and identify areas for improvement Conducts or leads in the observation and analysis of work procedures to determine the time and motion requirements of each element or process Analyse data collected during time studies to identify bottlenecks, inefficiencies, and areas where productivity can be enhanced Develop and maintain accurate standard time for various tasks and operations Conduct a review of capacity models in various Business areas Applies industrial management techniques and principles to develop cost and time-saving recommendations and modifications to work methods, staffing requirements, and SLA or Operations targets Implement processes to monitor and manage changed processes and maintain sustainability in line with process methodologies. Plot changed processes in line with process maturity and performance Participate in cross-functional teams to drive root cause analysis, corrective actions, and preventive measures. Research Best practices and Innovation Stay up to date with the latest advancements in process engineering technologies, methodologies, and best practices Investigate, identify, and implement business improvement and efficiencies within the business that is based on market research, competitor analysis, and customer needs Stay updated on industry trends, best practices, and technological advancements related to time study and process improvement. Stakeholder Collaboration and Support Build relationships and actively engage various stakeholders to understand business needs Provide training and guidance to Operations teams on new processes, procedures, and equipment to ensure successful implementation and operation Participate in cross-functional teams to drive root cause analysis, corrective actions and preventive measures on processes. Reporting Use appropriate templates and channels to report on progress on a weekly and monthly basis, in line with the QA Framework and Governance structures agreed Adhere to deadlines and ensure accuracy and quality Facilitate and assist with the coordination of the Business Process Management repository (ARIS) Process Audit report: Write details reports on internal and external process performance findings including non-conformances, observations, and recommendations Ensure reports are comprehensive and submitted promptly Process Compliance reports: Develop and maintain regular reports on key process compliance metrics and KPIs Define and track key performance indicators (KPIs) and metrics to measure process performance and compliance Develop process dashboards for all Operations and Customer Servicing role-specific reporting requirements to measure productivity and efficiencies. Requirements: WHAT YOU'LL BRING TO THE TABLE? Bachelors Degree (NQF Level 7) in a relevant field such as Industrial Engineering, Business Administration, Operations Management, or a related discipline Honors degree in a relevant field is highly desirable and can be an added advantage Understanding Business Process Management principles, including process mapping, analysis, and optimization Knowledge of process mapping tools and techniques (e.g. Visio) 3-5 years of experience in process improvement, business analysis, or a related role Certification in Lean, Six Sigma, or other process improvement methodologies (optional but preferred) Familiarity with process automation tools or technologies (RPA & Industrial Automation is advantageous) Experience in leading multifunctional innovation projects across business units Experience in conducting productivity and time studies is advantageous Analytical skills to assess and interpret data to identify anomalies and deviations from the design of the process Accuracy in process documentation and analysis Ability to develop, implement, and maintain the organization's Business Process Management (ARIS) in compliance with ISO 9001 standards Excellent verbal and written communication skills to engage stakeholders and present findings Strong ability to assess problems and provide solutions to improve process efficiency A proactive approach to identifying problems and developing solutions in a fast-paced insurance environment Willingness to support senior process engineers and participate in team initiatives Competency in collecting and analyzing data to generate process insights Foundational understanding of the insurance industry or related field, though not strictly necessary.
