My client, an independent specialist broker focusing on Trade Credit and surety solutions, is seeking a hands-on, reliable, and accurate administrator to join their team.
Duties & Responsibilities
Duties:
Reports:
- Request ageing’s from all clients on a monthly basis.
- Ensure that ageing’s are in an acceptable format. Address any discrepancies with the relevant client. Import client credit limits and ageing’s into the knowlEDGE system without errors.
- Prepare the necessary client reports as stipulated by the Specialist Broker responsible for the client within 24 hours of receipt of the ageing from the client. Discuss any deviations from this time standard with the Specialist Broker.
- Ensure that client reports are error-free.
- Discuss any discrepancies around client reports with the Specialist Broker.
- Adhere to a turnaround time of 48 hours on all tasks unless otherwise directed.
- On instruction from the Specialist Broker, ensure that declarations are completed and submitted timeously to the insurer.
Support:
- Attend to any additional tasks allocated by your Specialist Broker in terms of admin.
- Collate, prepare, and email guarantee schedules to relevant clients.
- Prepare and email monthly financial spreadsheets prior to the end of the relevant month.
- Order stationery as needed and ensure that stationery is always at optimum levels.
- Liaise with all service providers on any issues as they arise.
- Ensure that invoices are received timeously so that payment can be made at month-end.
- Attend to the personal requests of both directors.
- Ensure that travel expenses are received from all staff members and submitted to the director by no later than the 10th of the month.
General:
- Adhere to a turnaround time of 48 hours on all tasks unless otherwise directed. Continuously prioritize and reprioritize tasks ensuring compliance with time standards.
- Keep the kitchen neat, tidy, and stocked on a daily basis.
- Ensure that the overall office is neat and tidy and attend to any problems.
- Attend to clients on arrival at the office.
- Grooming and attire should align with the company’s corporate image.
- Answer telephone calls promptly and deal with callers in a professional manner.
Desired Experience & Qualifications
IT: knowlEDGE, Vox, Telkom, Telephone system, WiFi
- Report any issues to management immediately and prioritize remediation.
- Understand the nature of the business and the service delivery required to our clients and insurers.
- Comprehend every element of your function in relation to the client’s specific policy wording and/or endorsements.
- Fully understand any email or document sent by you or to you.
Package & Remuneration
Working hours: 08:30 – 16:30 but should be flexible to work after hours if needed.
Salary is negotiable depending on experience.
