Currently consisting of 2 Office Admin Assistants, the Office Support Department is responsible for Reception Duties, Room Bookings, Stock Replenishment, Liaison with Building Manager if issues with services, Internal Communications, Office Presentation and Employee Engagement initiatives.
The Admin Team is a vital component of Universal Partners and responsible for providing essential support services to ensure the smooth functioning of various departments. Our team plays a crucial role in maintaining a productive and efficient work environment and enabling other teams to focus on their core responsibilities.
The Admin Team is responsible for a wide range of administrative tasks and services that support the organisation as a whole. These functions include:
Front desk and reception: Greeting visitors, managing incoming calls, and handling general inquiries.
Facilities management: Overseeing the maintenance and upkeep of the office premises, including security, cleaning, and repairs.
Process improvement: Continuously reviewing and improving administrative procedures to enhance effectiveness and eliminate redundancies.
Collaboration: Working closely with other departments to understand their needs and provide timely support.
Working closely with and assisting the EAs. Ensuring the office environment is conducive to productive work, allowing employees to focus on their core responsibilities.
Handling routine administrative tasks for other team members.
Maintaining high standards of communication, documentation, and organisation contributes to the overall professionalism of the business.
Key Responsibilities and Accountabilities for the Team.
• General administrative support and assisting other departments with various administrative tasks, as needed.
• Reception hosting and greeting visitors.
• Setting up meeting rooms with requested equipment.
• Phoneline management. • Management of internal and external meetings
• Upkeep of office, kitchen, reception, meeting rooms and communal areas throughout the day.
• Support with sourcing office supplies, equipment, and other necessary resources.
• Support with event planning and coordinating alongside the EAs.
• Providing support to EAs with ad hoc tasks.
• Provide support to IT manager.
• Supporting HR with recruitment and new starter inductions.
• Landlord internal relations.
