Belfast City Council is looking for an organized and detail-oriented Business Assistant (Finance) to support the financial operations of the City and Neighbourhood Services department. *About the Role:*
As a Business Assistant (Finance), you will assist in providing essential financial and systems support to meet the business needs of the department. You will be responsible for managing expenditures, handling income, maintaining systems, and ensuring that finance-related tasks are completed to a high standard. You’ll also support departmental staff by offering guidance on finance and procurement matters.
This role requires excellent communication, organisation, and team-working skills, along with the ability to effectively manage day-to-day financial processes.
*Your Duties:*
* Provide advice and guidance to departmental staff on finance and systems-related matters.
* Monitor and process procurement of goods and services, including purchase orders and direct payments.
* Assist with preparing documentation for quotations and tenders, maintaining procurement databases, and evaluating quotations and tenders.
* Monitor and resolve invoice-related queries and ensure compliance with relevant procedures and deadlines.
* Maintain departmental petty cash and ensure timely recoupment.
* Prepare weekly and monthly income and VAT returns in line with procedures.
* Assist with managing income control, sales ledger, and departmental debt management.
* Help manage and administer departmental systems to improve efficiency and effectiveness.
* Provide management information on finance and performance, working closely with departmental managers.
* Assist in the research, development, and management of departmental systems and processes.
* Supervise and train assigned support staff, ensuring high-quality service delivery.
* Support the monitoring and review of budgets, investigating and resolving budget variances as needed.
* Assist in the preparation of financial returns and annual revenue estimates.

*Experience:*
*Applicants must demonstrate at least one year’s relevant experience in the following areas:*
* Assisting in the collation, review, and analysis of budget and financial reports, including processing all associated financial transactions.
* Handling the receipt of income, performing reconciliations, and/or processing orders for goods and services in line with procedures.
* Supervising staff on a daily basis in an office environment, including programming workloads and setting priorities.
*Education:*
* Five GCSEs (grades A-C) including English or equivalent qualifications, or
* Successful completion of a computer-based assessment test for Business Support Clerk, WPO/Clerk, or Clerical Officer roles.
*Additional Information:*
* Full time, Temporary.
* 08:30-17:00, Monday-Friday.
* Cecil Ward Building, Belfast.
