Business Office, Administration & Marketing is responsible for financial control, office administration & business marketing.
This position reports to: Director: Bus.
Job Objectives:
Strategic:
- Secure financial and administrative compliance of the bus division through audits and continuous collaboration with (MIAC) Middle East, Israel, Africa and CIS and (VGSA) Volvo Group Southern Africa finance.
- Analyze financial performance (revenue and cost) of the department, report deviations and assist with corrective/improvement actions.
- Continuous improvement of systems, ways of working (admin), reporting, etc. (less is more).
Operational:
Business Office:
- Always secure a high level of accuracy in all functions.
- Support with budget compilations, financial analysis, and reporting.
- Control financial activities and report deviations as required by VGSA & MIAC.
- Manage customer accounts and invoices using prescribed system (Evolve).
- Manage allocation of provisions from sales transactions.
- Support with the preparation of BRM and monthly estimates.
- Coordinate and control rolling bus stock, maintenance, cleaning and safeguarding of components at risk. (Perform visual inspections from time to time).
- Coordinate with external auditors to ensure compliance with auditing practice. (physical stock quarterly and with auditors – Deloitte).
- Liase with Logistics department to ensure timely deliveries.
- Capture data related to stock of vehicles and chassis on system (Evolve).
- Track orders to ensure timely delivery.
- Create purchase orders and GRV goods as well as record keeping.
Administration:
- Fully responsible for all office administration (sales, services, competence development, product engineering, partners, travel arrangements & bookings, etc.).
- Liaise and communicate with customers and internal supply chain with respect to vehicles, delivery schedules, customer accounts and invoices.
- Manage daily, weekly, monthly, quarterly reports and secure on-time submission.
- Manage vehicle introduction onto Natis, registration & licensing using the appointed service provider.
- Support with documentation during chassis/body homologation.
- Fully responsible for tender admin (document control, compliance sheet approvals, etc.).
- Monitor financial KPIs, analyze variances, and recommend corrective actions as needed.
- Identify cost-saving opportunities, motivate implementation of cost control measures, to enhance efficiencies.
- Collaborate with procurement and supply chain teams to optimize inventory and minimize cost management.
Marketing:
- Lead the marketing function for the bus division incl. digital & magazine submissions.
- Liaise with VGSA & MIAC marketing responsible and coordinate campaigns, functions, etc.
- Full responsibility with event planning, arrangement and execution.

- Grade 12 / Matric Certificate.
- Financial Accounting Degree or Diploma.
- Marketing certificate or experience.
- Computer Literacy (Microsoft Office Package, Power BI).
- A minimum work experience of 3 yrs required.
