Assistant Outbound Scheduler (Cape Town, ZA)
To provide a stock management service to both Commercial and Retail Customers by managing their operational stock levels between agreed minimum & maximum levels. Also needs to coordinate the bulk fuel delivery schedule for long distance Customers (assist with outbound scheduling when needed for local deliveries) in order to offer a delivery service to the retail and commercial customer base to ensure business continuity.
What You’ll Have Done Before
Baseline
- NQF level 5 (Higher Certificate in Business/Finance or relevant).
- 3 years’ experience in Scheduling or Logistics.
Advantageous
- Mathematics and Science.
- Experience in customer complaints management/customer service.
What You’ll Be Doing
Accounts
- Setting up new accounts in the pre-plan system and establish customer off-take, min and max stock levels, open times, vehicle access.
- Ensure all customer data and equipment are properly registered on SAP and scheduling IT tools (e.g. products, tanks, delivery time windows and SLAs for each site, trucks weight, drivers data, site location map).
Stock Monitoring
- Utilize daily dip readings from all customers and manage the stock levels between the min and max level in such a manner as to avoid product returns and run-drys whilst ensuring maximum capacity utilisation of vehicles.
- Pro-actively monitor the customers off-take in order to forecast peaks ensuring that deliveries are aligned to such peaks.
Customer Management
- Receive all bulk fuel delivery related calls from retailers, commercial customers.
- Having established the urgency of the problem, follow the delivery control decision tree step by step in order to resolve the delivery problem or query.
- Ensure that delivery is effected in the shortest possible time while ensuring the most cost effective transport routing.
- Continuously ensure that communication to the customer is both on-going and accurate during the problem resolution process.
- In the case of calls from depots: Accurately log the call, updating the note-log with the reason for the call and ensuring that trip changes and other controller requests are carried out immediately so as to ensure continuity of depot operations.
- Managing time during busy periods of the month/year.
- Able to handle several different duties at one time.
- To maintain consistent communication to internal and external customers.
- Learning about a broad range of equipment and contractors in the Retail Petroleum Industry.
- Troubleshooting work orders and finding solutions for justification.
- Operate effectively, even when things are not certain, or the way forward is not clear.
