Job Summary:
We are seeking a highly organized, proactive, and detail-oriented Restaurant Administrator/Executive Assistant to support the management team in the day-to-day operations of our restaurant. The ideal candidate will be responsible for providing executive-level assistance, managing administrative tasks, coordinating schedules, and ensuring smooth communication across departments. This role requires excellent multitasking skills, a strong ability to prioritize, and a passion for the hospitality industry.
Key Responsibilities:
1. Executive Support:
- Provide administrative support to the restaurant owner and management team, including managing calendars, coordinating meetings, and handling correspondence.
- Prepare reports, presentations, and documentation as needed.
- Assist with project management, tracking deadlines, and ensuring timely completion of tasks.
2. Office & Administrative Management:
- Maintain restaurant files, records, and documents, ensuring they are organized and easily accessible.
- Oversee office supplies and inventory, ensuring adequate stock levels.
- Handle communications with suppliers, vendors, and service providers.
- Process invoices, receipts, and payments; liaise with the finance department as necessary.
- Manage restaurant licenses, permits, and renewals.
3. Operational Support:
- Assist with the coordination of staff schedules, timekeeping, and payroll management.
- Support recruitment processes, including job postings, interview scheduling, and onboarding.
- Coordinate internal and external communications, ensuring smooth flow of information.
- Maintain and update point of sale (POS) systems and handle administrative tasks related to MarketMan or similar inventory systems.
4. Event Planning & Guest Relations:
- Assist with planning and coordinating special events, promotions, and marketing initiatives.
- Handle guest inquiries, complaints, and reservations when necessary, providing a high standard of customer service.
- Collaborate with the marketing team on social media updates, newsletters, and restaurant promotions.
5. General Support:
- Provide on-the-ground assistance during peak service times as needed.
- Handle other ad-hoc tasks as requested by management.
Qualifications:
- Proven experience as an administrative assistant, office manager, or executive assistant, ideally in the hospitality or restaurant industry.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with POS systems (e.g., Lightspeed K-Series) and inventory management tools (e.g., MarketMan).
- Knowledge of bookkeeping or basic accounting principles is an advantage.
- Ability to work in a fast-paced environment and handle confidential information with discretion.
- A proactive attitude with problem-solving abilities.
Preferred Skills and Experience:
- Previous experience in a restaurant or hospitality environment.
- Familiarity with restaurant operations, including scheduling, payroll, and vendor management.
- Experience with social media and digital marketing tools is a plus.
Work Environment:
- This role may require working on weekends, holidays, or during peak restaurant hours as needed.
