Credit Controller Job Description
The primary function of the Credit Controller is to apply the principles of Credit Control as stated within the company’s credit control policy and to minimize bad debt exposure as well as to increase productivity, reduce losses, and achieve operating profit objectives.
Duties & Responsibilities
- Generating of purchase orders, receiving, and invoicing of invoices.
- Payment of invoices and the Fixed Asset Register and the update and maintenance thereof.
- Processing customer refunds and ensuring necessary clearing accounts are balanced.
- Generating Purchase Orders from a quote in the creditor’s module. When generating orders ensure properly set up in the SOP module if it is a stock item.
- Capturing the delivery note to the correct general ledger account (expense account). When capturing stock and fixed assets ensure accurate capture to the relevant clearing account.
- Ensure fixed assets are added in the FA module. Ensure all other invoices are receipted in the creditors module in terms of awaiting payment.
- Ensuring documents are prepared in an Excel Spreadsheet and updated in the creditor’s module.
- Ensure payments are ready to be loaded on the bank.
- Ensure once payments have been actioned that the respective proof of payment is attached and filed in the month file for future reference.
- Capturing all invoices so that costs are updated in the general ledger timeously.
- Ensure all invoices are signed by relevant Line Managers. Ensure timeous preparation of invoices for payment.
- Ensure all month-end processes are adhered to and deadlines met timeously which is inclusive of all GL reconciliations completed and submitted as well as the balancing of clearing accounts to sub-modules.
- Adhere to company policies and procedures ensuring Purchase Orders are within budgeted amounts and authorized by the Line Manager.
- Responsible to ensure all document validation and preparation is accurate and completed timeously. Ensure that all payments are loaded in the creditor’s module. Ensure proof of payment is filed correctly and timeously for future reference.
- Strong analytical, investigative, accounting, numeracy, and literacy skills.
- Ability to work under pressure and within tight deadlines.
Safety
- Adhere to all safety practices (OHSACT and all associated legal requirements). Timeously address all infringements and report to the Safety officer.
- Responsible for ensuring an ongoing clean, tidy, and safe work environment in line with legislative requirements.
Desired Experience & Qualification
- Diploma in Credit Control Management.
- Computer Literate (MS Word and MS Excel Advanced).
- Minimum 3 years of credit control experience working with consumer and/or corporate clients. Knowledge of the National Credit Act.
- Working knowledge of Cogsdale package an advantage.
