Payroll Manager
Our client is seeking a Payroll Manager who will be responsible for effectively and efficiently managing the payroll department and providing a service with maximum output.
Duties & Responsibilities
DUTIES & RESPONSIBILITIES:
- Manage the entire payroll department, including 3 Payroll Officers.
- Continually assess, analyze, set, and meet effective deadlines for the entire payroll process.
- Develop, review, and maintain an accurate payroll administration process.
- Prepare and timely send out wage sheets to stores for input by the 10th of the month.
- Import and/or input the completed wage sheets into Payspace, checking for anomalies.
- Ensure that each store is processed according to the relevant checklist.
- Ensure paperwork submitted to payroll is correct and meets minimum requirements.
- Consult with management regarding queries on wage sheets.
- Ensure staff on maternity leave are not paid for the specified period.
- Review and quality assure changes or variations within each store.
- Load weekly subsistence allowances for Catering and ensure necessary deductions are made.
- Check for data errors, omissions, and inconsistencies.
- Review and input new starters, terminations, promotions, transfers, and leave.
- Input all relevant Employment Equity fields for stores qualifying to submit EE Reports.
- Ensure correct additional tax deductions for employees with multiple store affiliations.
- Manage transport reimbursements and annual WCA submissions.
- Update VIP with the latest changes.
- Assist with handling TERS queries and ensure legal compliance for each store.
- Ensure payments are made by the appropriate dates and cut-off times.
- Check Payroll Officers' submissions and upload payments to banks.
- Ensure all staff are paid successfully and upload payslips and IRP 5’s onto the ESS platform.
- Review payroll account reconciliations and ensure accuracy.
- Prepare PAYE returns and submit information to SARS.
- Run and distribute IRP5 documents and reports for managers.
- Manage the resolution of payroll queries.
- Consult with Provident Fund Administrators and manage submissions.
- Maintain confidentiality of information.
- Perform a high-level review of payroll administration data.
- Register any new company for UIF within 21 days of opening.
- Build and maintain relationships with functional heads and franchisees.
- Provide payroll support to management and staff.
- Monitor Payroll Officers’ error ratios and perform duties as a Super User for payroll.
- Perform any other reasonable duty as required by management.
Desired Experience & Qualification
REQUIREMENTS FOR THE POSITION
- Minimum of Grade 12.
- At least 8 years’ experience with payroll.
- Experience managing payroll for at least 1,500 staff members.
- Solid experience in preparing and submitting EMP 201 and EMP 501.
- At least 5 years of payroll managerial experience.
- Proficiency in Payspace, Sage VIP, and MS Excel.
- Strong experience in managing multiple payrolls and high-volume workloads.
- Attention to detail and excellent reconciliation skills.
- Ability to protect confidentiality and work under pressure.
- Excellent analytical and critical thinking skills.
- Solid understanding of Employment Equity and legislative processes for WCA returns.
- Experience in dealing with bargaining councils and banking processes.
Package & Remuneration
R42,000 depending on experience.
