Job Title: Administration AssistantReporting to the Finance Administrator
The business we are working alongside is looking to hire someone who is looking to complete a level 3 administration apprenticeship as well as working alongside them.
Package:• A starting salary of £22k to be kept under review depending on progress towards qualification•A start date - to be agreed.•Probation period 3 months.•20 days annual leave excluding bank holidays; up to 5 additional days can be purchased per annum following successful probation•Opportunity for 2 paid volunteering days per year to dedicate time to an agreed chosen charity.•Flexible working dependent upon the projects and needs of the company. During probation, we would require you in the office or at college four-five days a week unless otherwise agreed.

This can be reviewed in review of your overall package.•Regular site visits and audits are anticipated to be an important part of the role. These may require travel (generally within Wales and England). Depending on work requirements overnight stays may be required, however this is expected to be limited and we will be as flexible as possible and agree requirements in advance. Outline of work activities:• Support the smooth running of our office by ensuring that there are clean dishes and that waste is sorted in line with our environmental objectives•Be the first point of contact for phone calls and door entry
Update the weekly resource planning spreadsheet in preparation for the regular Monday resource meetingsSupport project managers by arranging hotel and car hire bookings as requiredSupport the finance administrator by chasing colleagues to ensure a timely completion of the weekly timesheets Support the finance administrator by downloading and recording the hours of sub consultants Help to maintain the subconsultant's databasePreparing fee applicationsSupport the finance officer by scanning, saving & sending on the general invoicesMaintain the office petty cash and manage the incoming postSupport the tendering process by completing the standard financial answersMaintain the project registerSupport the onboarding of new staff by:ordering their Personal Protective Equipmentsetting up their staff folderssetting up their personal HR foldersSupporting businesses' objectives by monitoring the company's carbon footprintOther tasks as required by the business
