OPERATIONS DEPARTMENT MANAGER | HERMANUS R220,000.00 R250,000.00 COST TO COST PER ANNUM Our client, a retail "giant" multinational group, are looking for Operations Department Manager for their stores across various regions.
MAIN JOB PURPOSE Ensure compliance and effective store operations to support the internal and external customers to achieve business strategy.
KEY OUTCOMES Engage stakeholders and manage adherence to Service Level Agreement (SLA) where applicable - Ensure self-audits are conducted against operations requirements
- Monitor and manage the productivity of service providers as per the SLA
- Maintain hygiene, health and safety disciplines through the SLA of contractors and Joint Ventures (JVs)
- Complete and monitor service provider scorecards as per the SLA (Blitz's, security, cleaning, C&GM)
- Engage with relevant stakeholders regarding operational matters (Regional, Divisional Operations and Head Office)
- Liaise with Centre Management and maintenance contractors regarding maintenance issues where applicable (security, safety, parking, electricity and water, plumbing etc.)
Manage shrinkage and implement key in-store processes - Ensure compliance with the Consumer Protection Act
- Ensure implementation and action outcomes as per shrinkage plans
- Analyse high/out of tolerance shrinkage lines and develop and implement action plans
- Ensure effective implementation through red flag processes - formulate action plans, implement and follow up (self-assessment of all compliance processes)
- Support store manager in facilitating and driving shrinkage committee meetings
- Manage access control within the store
- Ensure that receiving and stockroom processes are adhered to as per policy
- Ensure compliance with Occupational Health and Safety Act (OHASA) and operations processes
Ensure exceptional customer service at all touch points - Ensure efficient shopkeeping and house-keeping disciplines
- Manage customer interactions, complaints and requests
Drive and maintain legal compliance - Implement, update and display all of the relevant OHASA documents as per requirements (e.g. music license, wine license etc.)
- Ensure all relevant OHASA appointments are in place (e.g. 16.1 and 16.2) and ensure the availability and training of health and safety reps, First Aiders and Fire Fighters
- Ensure employees are trained in emergency procedures as per legal requirements
- Ensure all incidents and accidents are recorded and acted as per policy (e.g. site rep)
Manage equipment and the end-to-end stock movement processes in the store - Engage with the Distribution Centre regarding stock-related issues
- Effective management and handling of stock and equipment throughout the value chain
- Ensure stock accuracy through counts processes and inventory adjustments
- Drive and control replenishment from the stockroom and holding areas to the floor to mitigate risk
- Ensure end-to-end receiving processes are adhered to
- Ensure the ordering and control of consumables and equipment within allocated budget
- Effective integration with store teams
- Drive productivity to ensure stock is received, segregated, packed and distributed as per policy
- Effective utilisation of space in the stockroom, back areas and staging areas (e.g. Never out of Stock (NOOS) and Key Value Line (KVL))
Drive sales and stock management to maximize business profitability - Ensure stock integrity by adhering to correct stock management processes (e.g. red flag processes, NOOS, Temporarily Out of Stock (TOOS), shop-keeping disciplines and In-store Now (ISN))
Enforce and maintain store operational policies, procedures and processes - Implement store policies, procedures and processes with regards to:
- Apply key control and access control measures in store
- Ensure cash-in-transit processes are adhered to
- Ensure out of hours visits
- Manage the business as part of red flag processes. Check if it is still required to be done
- Ensure CCTV footage is reviewed and action findings
- Ensure compliance checks are completed
- Expense control
Adhere to store processes - Comply with OHASA and legal requirements (including hygiene audits)
- Ensure compliance to internal controls (e.g. access and keys)
- Assist with commercial and operational duties (e.g. weekends, days off and power hour)
- Communicate and train employees and contractors on store operational policies
- Ensure effective resource/workforce planning and management in line with legislation and people policies
Lead, develop and retain staff - Manage the end-to-end People processes (attract, develop, retain)
- Drive and manage the Integrated Performance Management processes
- Develop and coach the team
- Ensure consistent engagement with the team (e.g. Lets Talk)

MINIMUM ROLE REQUIREMENTS - Entry Requirement: Grade 11 or NQF3 completed, and Grade 12 will be advantageous
- Retail and or Business Management Diploma would be advantages
- 2-5 years role experience as a Operations Department Manager in Retail
- Retail experience highly advantages
- Team Management would be advantages
- Leadership and Management experience would be advantageous
- Ability to work shifts that meet operational requirements
