Tender Specialist - Security
PURPOSE OF THE POSITION
The Tender Specialist is responsible for the development and management of individual tenders in accordance with the FullServe Services procedures from initiation to hand-over. Participate in all tender operations , document processing, and ensure compliance and punctual delivery of all tenders.
Duties and Responsibilities
- Perform an initial review of the Invitation to Tender documents to establish scope of work, the tender schedule, and the composition of the tender team.
- Clarify any items that are unclear.
- Determine in collaboration with the technical team the physical format for the tender, including cover set, tabs, photos, etc.
- Establish the requirements and deliverables of the tender team members with due regard to the scope of work and the tender schedule.
- Plan tender reviews and submittal deadlines and customer requirements.
- Participate in all tender stage meetings.
- Ensure that all relevant data and information compiled during the tender development is considered and made available to all tender team members.
- Develop clarifications, tender submittal, post-submittal clarifications, etc.
- Maintain accurate records and files (manual and electronic) of all tender data (i.e., correspondence, quotations, internal input, etc.)
- Alert the Managing Director to potential problems in tender development/production.
- Manage the tender office (i.e., Planning, Organizing and Controlling of resources).
REQUIREMENTS
- 3 to 5 years of experience (Preferably in the Security industry).
- Bachelor’s degree in project management or related field.
- Competency in Microsoft Office Suite.
- Valid Driver’s License.
- Own Car.
- Able to work long and irregular hours to meet deadlines.
