Introduction
An exciting career opportunity exists at Medipost Pharmacy (Kawari) for a Selfcare and Medical Consumable Coordinator. The incumbent will perform a variety of responsibilities to include the sourcing, price checking, and ensuring availability of consumables, self-care, OTC products, devices, and any other relevant products to the Medipost Holdings Group and its customers/patients.
PRIMARY PURPOSE OF THE JOB
- Ensure that all daily functions and operations comply with written SOPs, good Warehousing and Distribution Practices, Health and Safety Act and Regulations, and Quality Management Systems.
- Engage actively with all stakeholders throughout the Medipost Holdings Group to establish, update, and execute the strategy pertaining to Medical Consumables, Selfcare, Online, and OTC products.
- Ensure procurement of products complies with GWP and GPP quality standards.
- Maintain optimum stock levels by working closely with the Procurement Team, in line with customer requirements and company expected availability on Medical Consumables, Selfcare, Online, and OTC products.
- Ensure availability of stock from suppliers according to agreed stock holding.
- Escalate out-of-stock items to the Procurement Manager and follow up on these items.
- Maintain a comprehensive, up-to-date out-of-stock report to support the Online sales product strategy.
- Update new products with Codeine act, correct scheduling, and all applicable legislative rules to ensure compliance with GPP Online Rules and Regulations Minimum Standards for Pharmacies Operating Internet Sites.
- Monitor customer back orders and engage with relevant departments to ensure thorough communication through the value chain.
- Collaborate closely with the Marketing Department, Medipost Pharmacy Medicine Group Procurement Department, Order Processing Managers, and Walk-In Centre, Cape Town Departments.
- Work closely with the appointed Online Shop developer.
- Collaborate with the IT Department for new development, data imports, and general Medipost APP applications as part of the Online Offering process.
- Load items to be sold on the Online Portal.
- Broaden the Online offering within the approval framework.
- Work closely with Operational Managers in Medipost Pharmacy to ensure optimal sourcing and dispensing of Medical Consumables.
- Collaborate with the Finance Department to ensure payments are processed, recorded, and client experience is optimal when procuring on the Online portal.
- Maintain a close relationship with the HR department.
- Implement and maintain reporting internally and externally. Ensure reporting to the business on the sales of Medical Consumables, Selfcare, Online, and OTC products is documented and executed accordingly.
- Liaise with Receiving and Inventory regarding credits and returns to ensure proper and timely handling.
- Handle administrative Contract Compliance to ensure deals are documented and recorded for tracking purposes.
- List commercial benefits in weekly/monthly meetings with the Commercial Head: Pharma, Medipost Pharmacy Stock Manager, and Medipost Operations Managers.
- Ensure new product entries are treated as per Procurement Policy with monthly discussions with Managers involved in OTC and Online products.
- Develop and implement effective digital marketing strategies to drive brand awareness, increase online visibility, and generate leads and conversions. Collaborate with the Marketing team to utilize various digital marketing channels, tools, and techniques for optimal campaign performance.
- Maintain a close working relationship with the Online portal developer to ensure optimal client experience.
- Conduct weekly price checks on Online offerings.
- Provide feedback in various Operational, Managerial, and Strategic meetings on strategies, implementations, timeframes, challenges, and successes in the department.
- Participate in annual stock take undertakings as needed.
PERSON SPECIFICATION
- Purchasing experience: Minimum of 3-5 years in purchasing, preferably in the Selfcare and Consumables sector.
- Knowledge of Selfcare and Consumables products: Good understanding of categories including skincare, personal care, oral care, and healthcare products.
- Supplier management skills: Adept at managing supplier relationships and ensuring on-time delivery.
- Analytical skills: Strong analytical skills to monitor inventory levels and forecast demand.
- Attention to detail: Detail-oriented to ensure accuracy in purchasing and inventory management.
- Communication skills: Excellent communication skills for collaboration with departments and suppliers.
- Technical skills: Familiarity with procurement software and proficiency in Microsoft Excel.
- Analytics and reporting: Monitor and analyze KPIs and provide regular reports to evaluate campaign performance.
- Self-motivated: Able to work independently and deliver results timely.
- Organization and Time Management: Ability to handle multiple orders and projects simultaneously.
- Acute awareness of opposition offerings.
- Eagerness to stay updated on new developments in the pharmaceutical industry.

Minimum Requirements
- Grade 12 or similar level of education.
- Certification/Diploma/Degree in Business Administration or Supply Chain Management.
- Computer proficiency and knowledge.
Ideal
- Good understanding of pharmaceutical appliances/consumables.
- Proficiency in using digital marketing platforms and tools.
- 1-3 years of experience in procurement, purchasing, or supply chain management.
- Experience in the healthcare industry or medical supply purchasing is preferred.
- Digital Marketing experience.
- 2-3 years buying experience within the pharmaceutical industry.
