Canada's official representation in Germany includes the Embassy of Canada in Berlin, as well as consulates in Düsseldorf and Munich. Members of the team work in a fast-paced multidisciplinary and international environment. The role of the three offices and their more than 100 Canada based and locally engaged staff is to develop the relationship between Canada and Germany across a number of areas.
The Common Services Program is responsible for the effective and efficient management and operations of the Embassy of Canada through the provision of high-quality common services to the Embassy and network of Canadian diplomatic missions in Germany.
The Embassy of Canada in Berlin is seeking a:
Common Services Assistant - Property Maintenance / Material Management (m/f/d)
Reporting to the Common Services Officer (Property), the Common Services Assistant (CSA) (Property) provides daily administrative support and services to the property section, as well as performs other duties as required.
The CSA also contributes to the regional focus of the property program by supporting administration and proactively collaborates with other Canadian Consulates in Germany concerning property-related works.
The incumbent of the position monitors long term contracts for building maintenance, cleaning services and office equipment maintenance; monitors the regular maintenance of building/technical systems; arranges and supervises renovations, alterations, modifications and installations at office and residential properties; is responsible for the disposal of non-serviceable and surplus assets; provides administrative and support services; uses information management software and databases; assists in maintaining building leasing contract records; interacts with customers, service providers, coworkers and supervisors and provides answers to routine questions or requests.
In addition, the individual conducts periodic visits and supervises contractual workers as required at properties owned or leased by the Embassy of Canada; prepares regular forecasts, annual budgets, and monthly financial reports related to property and material activities; takes care of customs clearances for the section; oversees the work of two maintenance technicians and performs other duties as required e.g. supporting the delivery of other common services on occasion and acting as a backup during absences.
Essential qualifications include a minimum of 3-year certified vocational training in the fields of property management, general administration, accounting, procurement or similar.
Essential qualifications also include experience in working in an office environment providing administrative support related to property management, maintenance or similar; working in a client (internal and/or external) service delivery environment and working with external suppliers and/or contractors. Experience means at least two (2) years of work experience within the past five (5) years with a minimum of one (1) year of continuous experience in the same position.
In addition, the ideal candidate has a minimum CEFR Level B2 or higher in English (oral and written) and a minimum CEFR Level C2 in German (oral and written).
The position is full time (37.5 hours per week) and indeterminate. The starting salary is EUR 48,801 gross per annum. As per current terms and conditions which are periodically reviewed, additional benefits include a yearly bonus of 13th month's salary paid in November and a bonus of a 14th half month's salary paid in June, 30 days of annual leave, and a performance based annual salary increase.
