The Role
We are looking for a detail-oriented Project Administrator/Coordinator with a passion for streamlining processes and ensuring seamless project delivery. Skilled in coordinating multiple project facets, from scheduling and resource allocation to documentation and stakeholder communication. A proactive problem-solver with a knack for anticipating project needs, managing budgets, and ensuring all deadlines are met.
Skills and Experience
What you’ll do:
- We are implementing a new MRO (Maintenance, Repair, and Overhaul) System Replacement Project to kick-off 13 January.
- It is a complex project with multiple stakeholders.
- The project will change the way in which 100’s of employees do their daily work. The change will be immense and there will be resistance & change fatigue.
- For this project we have an inhouse Project Manager and we’re looking for a Project Administrator/Coordinator to support the project manager during this complex project.
- The expectations of the Project Administrator/Coordinator are as follows:
- Setup and attend all MRO project sessions.
- Record minutes for each session.
- Communicate minutes of each session to stakeholders post-session.
- Maintain project documentation & support the Project Manager with setting up project-related artifacts.
- Ensure workshop rooms are set up before sessions commence.
- Ensure catering is ordered timeously for external vendors.
- Provide project updates when the Project Manager is unavailable to do so.
- Obtain sign-offs on key decisions from relevant stakeholders when required.
- Assist with presentation creation and updates to project presentations.
- Maintain decision logs, action logs, and risk logs.
- Support the Project Manager in executing the project plan.
