Icebolethu Group is currently in search of Fleet Administrators x3 on a permanent basis located at Fleet Department within Icebolethu Group . The successful candidate will ensure the smooth functioning of a fleet of vehicles by managing vehicle tracking systems, monitoring usage, coordinating tasks, planning trips, handling administrative tasks, and compiling reports where applicable.
Qualifications, Experience & Competencies:
Minimum Qualifications
- Grade 12
- Diploma in Road Transport Management advantageous.
Experience and Knowledge required
- Minimum of 1-2 years’ experience in a similar role.
- Computer Literacy: Microsoft Office and knowledge of tracking systems.
- Have reliable transportation.
Skills and Competencies required
- Must have good communication skills.
- Creative and able to make decisions independently.
Key Performance Areas:
- Utilize a dedicated tracking system to monitor the real-time location and status of vehicles, ensuring their efficient use and minimizing downtime.
- Keep a close eye on vehicle usage, including mileage, fuel consumption, and maintenance requirements.
- Identify and report any issues promptly to prevent any potential problems or delays.
- Efficiently assign tasks to drivers, considering factors such as vehicle capacity, driver availability, and delivery requirements.
- Ensure tasks are distributed evenly and completed within the given timeline.
- Plan and coordinate trips for drivers, considering locations, timing constraints, and traffic conditions.
- Monitor trips in real-time to ensure on-time arrivals and proper route adherence.
- Handle administrative duties such as maintaining vehicle records, processing paperwork, and managing driver documentation, including licenses, insurance, and permits.
- Regularly update and maintain trip data sheets, ensuring accuracy and completeness.
- Analyze data to identify patterns and opportunities for improvement.
- Coordinate vehicle movements with driver work hours to optimize productivity and avoid overtime.
- Ensure drivers are aligned with the designated schedules.
- Review and sign off on timesheets to ensure accurate recording of working hours.
- Compile monthly reports summarizing vehicle usage, expenses, and key performance metrics.
