Legal Secretary
Attorneys in Cape Town require a Legal Secretary.
Duties & Responsibilities
- Maintain Partner(s) and/or Professionals’ diary including coordinating and liaising with relevant parties regarding meetings and preparing all documentation for appointments and travel.
- Filing, organizing, and maintaining documents.
- Opening and closing of legal files in accordance with the firm’s policies and procedures.
- Organizing and maintaining legal files in accordance with the firm’s policies and procedures.
- Assist in handling legal administration requirements.
- Assist in the preparation and processing of legal documents.
- Print all correspondence, pleadings, and documents and file them in physical/hard copy files.
- Ensure documents dispatched are accurate.
- Liaise with messenger/driver.
- General office administration and management.
- Dictation typing.
- Follow up with clients regarding payments and keep a log of all client contact.
- Compile and submit weekly outstanding reports (payments from clients and report to accounts department once a week).
- Ensure compliance with FICA.
- Complete time sheets and capture time on CMS/Adarant.
- Keep track of attorney time records and billing.
- Monthly invoicing in accordance with the firm’s policies and procedures.
Desired Experience & Qualification
Grade 12 (Matric).
Minimum of 5 years’ experience as a legal secretary within a law firm.
Experience in a Maritime Department is an advantage.
Familiarity with the following software packages:
Knowledge of basic numeracy and literacy skills.
Knowledge of administrative and clerical procedures and systems.
Knowledge of FICA.
Own transport essential.
Ability to work under pressure, and occasionally after hours.
