About the role
The Tour Staff Administrator is responsible for providing admin support to the Tour Staff team. This role focuses on assisting with the day-to-day administrative tasks related to the management of CEOs (Tour guides) and other tour operations. It reports into the Tour Staff Manager and works closely with the Tour Staff Coordinator to manage various administrative aspects.
This role is office-based, currently three days a week in Cape Town, South Africa and is a fixed term contract for a period of up to six months.
What you’ll be doing
Assist with administrative tasks related to CEO management, including payroll and accounts.
Help maintain CEO records and ensure they are up-to-date.
Help compile pre-trip documents for CEOs.
Create trip doc folders for CEOs on Google Drive
Provide administrative support for logistical issues and emergencies during trips.
Help gather information necessary for CEOs' trips.
Provide administrative support for field activities as requested.
Update and maintain the route guides.
Maintain the CEO Google Drive folder and create an effective filing system for important documents and keep them up to date.
Support the team in preparing presentations and other materials for meetings and training sessions
Perform other administrative tasks as directed by the Tour Staff Manager and Tour Staff Specialist
Manage and maintain the internal CEO website by keeping it up to date with the relevant info on an ongoing basis.
Assist with onboarding processes for new CEOs by compiling all relevant qualifications, permits, personal documents etc
Regularly review the validity of required permits and documents and keep the CEOs aware of this
Assist in Namibian Work Visa applications for CEOs
Assistance with invoice validations in the Reservations department as needed.
What you’ll need

Ability to work legally in South Africa
