Senior Coordinator Operations and Administration

POSITION SUMMARY - This position is based in Cape Town, South Africa
Conservation South Africa (CSA), as a local affiliate of Conservation International, is committed to helping societies adopt more sustainable approaches in development—one that considers and values nature at every turn and improves human well-being through the conservation of healthy ecosystems and the goods and services they provide.
The Senior Operations and Administration Coordinator will provide operational support to the administrative, financial, and human resources functions of the Conservation Finance team, and will also provide a personal assistant service to the Senior Vice President, Conservation Finance. The Conservation Finance team is responsible for mobilizing innovative finance solutions for nature within Conservation International.
This is a critical support and enabling role, with the incumbent serving as the go-to resource on operational matters, working closely with Finance, Operations, and HR - both for Conservation International Global and Conservation South Africa.
They will use their experience in supporting C-suite level executives and senior management, and their ability as a mature team player to ensure that operational functions comply with CI’s policies and procedures, as well as donor and country reporting requirements.
RESPONSIBILITIES
- Work to ensure operational services within the department run smoothly, functioning as a recognized resource for routine and non-routine operational matters.
- Educate staff in understanding and applying CI operations policies and procedures, and resolve any questions or concerns in good time.
- Assist with onboarding of new employees and manage HR paperwork.
- Oversee day-to-day financial transactions, including reviewing and preparing purchase orders, reimbursements, reclasses, and other related transactions.
- Provide project administration and support, including reviewing and verifying project information, entering and maintaining project information in CI’s management systems, and generating reports.
- Create and review expense reports, track expenses and ensure accurate coding.
- Review time reporting for proper coding and charging. Work with payroll to make corrections/reclasses.
- Coordinate travel arrangements and handle travel expense reports.
- Manage filing systems.
- Track contracts and donor agreements and review for compliance with donor agreements.
- Provide logistical support for meetings and events.
- Function as the department liaison with IT.
- Perform related duties as assigned.
WORKING CONDITIONS
- Maximum of 10% in-country travel annually.
- Guidance on flexible work arrangements will be shared during the interview process.
- This is a fixed-term assignment expected to be 1-year.
QUALIFICATIONS
Required
- High School or Secondary School education.
- 2 to 4 years of related work experience, supporting C-suite level executives and senior management.
- Mature team player with advanced interpersonal skills, sound judgment, and the ability to navigate complex organizational structures.
- Highly developed organizational skills with meticulous attention to detail and accuracy.
- Pro-active self-starter.
- Able to multi-task in a fast-paced environment.
- Excellent ability in verbal and written communication.
- Discretion and sensitivity regarding personnel issues.
- Fluency in MS Office and Google Apps (Mail, Drive, Hangouts, etc.), with an interest in and aptitude for learning new systems.
- Advanced proficiency in Excel.
Preferred
- A Bachelor's degree or relevant tertiary qualification of at least two years is preferred.
