Customer Service Representative
Our client is looking to fill a position for Customer Service Representative. The successful candidate will be focused on all the Order-To-Cash activities and some PTP activities to provide superior customer service in line with our policies whilst driving our commitments effectively.
Duties & Responsibilities
- Handling customers' purchase orders by using a mix of different technologies and processes ensuring effective service and administration support for the assigned customers in one or more business units, following compliance regulations.
- Provide delivery commitment to customers and follow up on order activity to alert customers in case of discrepancies.
- Inbound and outbound communication with our customers, local suppliers, and within the organization.
- Providing necessary shipping and quality documentation to facilitate shipments and collection of goods.
- Handling new customer requests creation.
- Handling and escalating customer complaints across several communication channels.
- Enter and process customer purchase orders (R12, Portals, EDI, RLM) in a correct, efficient, and 100% compliant way.
- Enter and process credit, return, rebill, warranty, goodwill, sample orders.
- Ensure that all supportive documents are attached to SO, and that PO matches 100% with SO.
- Responsible for submitting Customer Facing Documents to customers, transportation team & payment assignments.
- Provide finance department & customer requests, Proof of Deliveries (POD).
- Receive and process customer inquiries on standard pricing, lead time, product availability, complaints through efficient, prompt, and friendly communication in order to maintain excellent customer relationships. Record any complaint via CAPA tool.
- Communication (Internal/External) with customers, DC, Internal sales, project team, finance, plants.
Desired Experience & Qualification
- Matric and a Technical/customer service qualification.
- Min 3 years’ experience in a similar role.
- Able to read technical drawings.
- Computer literacy, with Oracle experience.
- Good verbal and written communication skills.
- Customer focused and able to build relations.
- Able to work independently and accurately.
- Good problem-solving abilities.
