Introduction
Provides a quality assurance function for all material and service master data records created and responsible for maintaining the quality of the database.
Duties & Responsibilities
Key Performance Areas (summary of functional outputs):
- Responsible for the quality control of all material and service master data records.
- Maintain the integrity of the Materials and Services Master Data database.
- Cataloguing of Contracts (large volume) and once-off Ad-hoc requests.
- Provides training to all cataloguers and business users on the use of the systems, the process and the methodology related to cataloguing.
- Responsible for all system testing because of system changes and bug fixes.
Maintain the Integrity of the Master Data database by:
- Drawing reports, analyzing and identifying data improvement opportunities and executing on these initiatives.
- Measuring and reporting on data quality and related projects to management at the applicable Business Unit, in predetermined formats, configurations and/or templates, according to predetermined schedules.
- Responsible for value standardization.
- Formulating rules to ensure the correctness of the data values inputted.
- Standardizing the attribute values.
- Testing existing data and resolving non-conformance.
- Managing and maintaining standardized value lists for attributes across the database.
- Responsible for the identification and driving the resolution of non-compliant existing records and anomalies.
- Responsible for the identification and resolution of records that need to be archived/flagged for deletion.
- Responsible for mass data duplication detection and driving the resolution thereof.
- Responsible for performing audits to assess user competence and identify training gaps.
- Managing and maintaining synchronism of configuration data between IT systems.
- Identifying potential obsolete records and resolving if found to be obsolete.
- Executing on initiatives related to data cleansing and data enrichment.
- Assisting other business units with data cleansing initiatives.
Cataloguing of Contracts (large volume) and Once-off Ad-hoc requests by:
- Responsible for the cataloguing and updating existing records.
- Providing a cataloguing service for Materials and Services for stakeholders.
- Managing the process of cataloguing large volumes of data.
- Participation in procurement process representing Materials and Services Master Data Management.
- Providing guidance to the end user on the cataloguing process and requirements.
- Liaising with end user to determine the exact user’s requirements.
- Analyzing and translating the requirements into cataloguing terms to establish which data categories and descriptors are applicable.
- Searching the cataloguing system for existing catalogued records that could be used.
- Providing stakeholders with the correct cataloguing documentation related to his/her request.
- Guiding users on the correct completion of all documentation.
- Quality inspection of documentation received back for correctness, completeness and approval by the necessary authorities.
- Capturing/approving the requirement on the cataloguing system.
- Resolving duplicate issues and data input errors should they arise and transferring data to SAP.
- Adhering to the application of internal controls, policies, procedures and legislation.
- Assisting other business units with cataloguing (as and when required).
- Filing documentation as per business rules and legal requirements.
- Performing administrative duties to ensure efficient record keeping and adherence to legislation.
Provides training to all cataloguers and business users on the use of the systems, the process and the methodology related to cataloguing by:
- Responsible for providing input into the development of all training material, and delivering training to business end users, STG users and site cataloguers.
- Training stakeholders on the process, the methodology behind cataloguing and the use of the STG and Infinity software.
- Assisting stakeholders to interpret the cataloguing guidelines, policies and procedures to ensure quality data is generated and adherence to cataloguing standards.
- Managing and controlling user access and authorisation to the master data and the software.
- Supervising site cataloguers job outputs.
- Providing system and process support related to capturing requirements on the Infinity software.
- Providing system support related to creating purchase requisitions/local purchase orders using the Structured Text Generator (STG) interface to SAP.
- Investigating and resolving customer queries within SLA request resolution target.
- Providing customers with timeous and regular feedback on opened/unresolved requests.
- Resolving Materials and Services Master Data issues and queries.
- Providing a support service to all business users making a procuring request with respect to the systems and processes.
- Providing a training and support function to the site cataloguers and business users.
Responsible for all system testing as a result of system changes and bug fixes by:
- Responsible for managing the testing process during system upgrades/enhancements.
- Responsible for all system testing.
