ROLE OVERVIEW
The Waste Management Administrator will support our clients' Facilities Management team in various waste management activities with municipalities. The primary focus of the role is to minimize waste-related expenses by ensuring accurate municipal invoicing for waste removal and overseeing the service provided by outsourced waste management partners.
RESPONSIBILITIES
Waste Management
- Ensure accuracy in municipal waste billing.
- Verify municipal utility accounts to confirm that waste collection charges align with the actual type and number of bins on site.
- Collaborate with Facilities Management to contract the appropriate number and type of bins.
- Coordinate with municipalities to optimize the bin count and types.
- Audit and cross-check waste billing details on utility invoices with Facilities Management’s reports on bin collection.
- Conduct variance analysis across managed buildings, including those serviced by external waste providers.
- Work with Facilities Management to explore recycling options to potentially lower contract costs through rebates.
- Partner with Environmental Social Governance staff on related data.
- Coordinate with Facilities Management to ensure timely placement of bins for collection.
- Log calls with council if bins are not cleared.
- Maintain waste areas in cooperation with Facilities Management and service providers to ensure:
- Timely waste collection
- Cleanliness of waste areas
- Replacement of damaged or obsolete bins
Reporting
- Maintain performance and standardized waste management reports for each building, tracking bin numbers, collections, billing, and cost savings.
- Provide any additional reports or reconciliations as requested by the billing manager.
Utility Management
- Engage with municipalities and provide general support.
- Conduct on-site meter readings and input data as needed.
- Manage tenant account reconciliations and promptly resolve queries.
- Review billing methodologies to ensure correct tariffs are applied.
- Maintain relationships between the company and municipalities.
- Regularly report on utility risk management and account administration.
- Work with Utilities Management to ensure buildings are on optimal tariffs.
- Conduct utility audits and ensure compliance with relevant legislation.
- Support the utilities manager with processes and systems to maintain compliance and reduce risk.
- Perform other utilities-related tasks as directed by the utilities manager.
Requirements
- In-depth understanding of municipal processes, tariffs, and waste management practices.
- Ability to handle pressure, multitask, and work after hours when necessary.
- Strong organizational skills, with a focus on meeting deadlines.
- Proficient with basic computer functions and quick to learn new software, including Microsoft Office.
- Clear and accurate communication, both written and verbal.
- Effective relationship management with colleagues and municipal contacts.
- Familiarity with office and account procedures.
- Ability to work independently and make decisions in line with laws and regulations.
- Professional judgment and courteous interaction with utility customers and municipal representatives.
