This role provides effective and efficient document control for the Zen & Bergriver wind farm construction projects. He or she will Maintain effective document control procedures and systems in a timely manner and implement and maintain efficient administration systems and processes.
This role is based in Cape Town with frequent travel to plant site and is a fixed-term role for 24 months.
Job Description
Key responsibilities
Effectively manage the control and distribution of all relevant documentation for the project including:
Ensuring the Project/Site office and subcontractors always have the most up-to-date project documentation.
Verifying receipt of all incoming documents against accompanying transmittals and identify and raise any discrepancies with relevant parties.
Arranging for document printing and delivery to relevant parties
Liaise with project teams and external parties on all document control issues.
Issue document numbers for management system documents.
Implement, manage, and maintain Acciona’s document control procedures effectively, adapting where necessary for the local context, including management of multiple simultaneous workflows.
Implement system controls, project file schedule, document control project instructions, organisational chart, and general assistance to project management team.
Ensuring document submissions, reviews and responses are conducted in accordance with the timing requirements included in the upstream and downstream contracts.
Obtaining relevant approval for issue of drawings & documents to projects (internal and external)
Collecting, collating, filing, and archiving of management system records and project documents
Ensure that all documentation is transmitted in accordance with the project guidelines.
Manage and maintain effective liaison and communication with all levels of project management team and external stakeholders.
Liaise with the originators of documents to ensure they are transmitted to the required systems in a timely manner once authorised for usage.
Liaise with the Site Team / Quality Controller on the implementation of the document control system.
Required Skills and Competencies
Relevant administrative qualifications or equivalent experience
Preferably 5 years’ experience in Document Control within the construction industry.
Large-scale construction projects experience preferred.
Essential proficient skills in the following software: MS Excel, MS Word, MS Outlook, SharePoint
Clear and concise verbal and written communication
Demonstrated ability to work independently to organize and prioritise demands and handle multiple tasks simultaneously.
Must be team-oriented, accountable, and results-driven.
Must be energetic with a positive can-do attitude.
Valid driver’s license.
Flexibility to travel locally as required.
