Our client in the Outsourcing and Consulting industry is looking for a dynamic and organised Events Coordinator. The ideal candidate will be responsible for planning and executing successful events across EMEA and APAC for senior level HR, Talent Acquisition and Procurement leaders, from concept to completion. This role will involve speaker research and recruitment, as well as the coordination of all logistical aspects of events.
What you will do:
Speaker Research and Recruitment:
- Identify potential speakers based on event themes and objectives.
- Reach out to and recruit speakers for events.
- Negotiate speaker fees and contracts (where necessary – most speakers are unpaid).
- Manage speaker communications and logistics.
Event Planning and Coordination:
- Analyse results of delegate surveys to identify potential interesting topics for events.
- Develop comprehensive event plans, including timelines, budgets, and logistics.
- Source and secure venues (where necessary long-standing agreements are in place with tried and tested venues), catering, and audiovisual equipment.
- Coordinate with vendors and suppliers to ensure smooth event execution.
- Manage event communications, including invitations, registration confirmation, reminders and menu options etc.
Post-Event Follow-Up:
- Gather feedback from attendees and speakers.
- Analyse event performance and identify areas for improvement.
- Prepare post-event content including wrap up content for delegates, reports and presentations.
Qualifications
- Bachelor's degree in event management, marketing, or a related field.
- Minimum of 2 years of experience in event planning and coordination.
- Proven track record of successfully planning and executing events of various sizes and complexity.
- Excellent organisational and time management skills.
- Strong communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Experience with event management software (e.g., Cvent, Eventbrite) is a plus.
