REQUIREMENTS - Matric, relevant qualification in travel and tourism advantageous
- Minimum of 2-3 years of experience as a travel agent or coordinator
- Strong knowledge of domestic and international travel destinations
- Experience in online travel booking platforms, reservation systems, and ticketing procedures
- Multitasking, prioritizing and manage time effectively
- Attention to detail to ensure accuracy in bookings, itineraries, and travel documents
- Problem-solving skills to address travel-related issues and conflicts promptly
- Fluency in multiple languages is a plus, depending on specific employee groups
- Visa appointments and paperwork experience to a certain extent
- Microsoft Office Suite i.e. word, excel, PowerPoint and Visio â intermediate to advanced level of proficiency
- Sage x3 experience essential
- Experience in handling complex travel arrangements, including group bookings, corporate travel, and international destinations
- Knowledge of current industry laws, regulations, and ethics pertaining to the travel industry

DUTIES - Keeping track of travel and costs arrangements
- Correspondence with the travel agent, employees, and Head of Teams
- Ensuring that travel request forms and approvals are maintained and filed
- Interacting with clients and employees to determine their travel requirements, preferences, and budget constraints
- Researching and providing appropriate travel options, itineraries, and packages to get the best SLAs in place as well as the best prices
- Booking flights, accommodations, transportation, covid testing, vaccinations, and other travel-related services on behalf of clients and employees
- Advising clients and all employees on travel regulations, visa requirements, and insurance options
- Driving all communications with regards to clients and all employees on travel & accommodation arrangements
- Handling various administrative tasks, including preparing and maintaining travel records, purchase orders, invoices, and booking confirmations
- Developing and maintaining relationships with travel suppliers, such as airlines, hotels, and service providers
- Staying updated on industry trends, new travel destinations, and special offers to provide employees and the Office Manager with the most relevant and value-added advice
- Assisting employees with travel emergencies, changes, cancellations, and rebooking as required
- Supporting the full turnkey process of bid submissions and all the logistics entailed
- Supporting the Marketing & Communications team with travel and logistics for conferences and events
