Reporting to the Financial Manager Job purpose: The Systems Administrator will be responsible for overseeing and managing the IT infrastructure and services within the division, ensuring alignment with the group IT strategy. The role involves managing day-to-day IT operations, implementing modern technologies, ensuring data security, and supporting business processes with innovative IT solutions. Key Performance Areas: Manage information technology and computer systems Plan, organise, control and evaluate IT and electronic data operations Manage 1 x IT reportee Design, develop, implement and coordinate systems, policies and procedures Ensure security of data, network access and backup systems Act in alignment with user needs and system functionality to contribute to organisational policy Identify problematic areas and implement strategic solutions in time Audit systems and access their outcomes Preserve assets, information security and control structure Handle annual budget and ensure cost effectiveness Principle Accountabilities: 1. IT Strategy and Planning: Develop and implement divisional IT strategy aligned with the group IT roadmap. Work closely with divisional leadership and Group IT to ensure business needs are met with appropriate technology solutions. Prepare and manage the divisional IT budget, ensuring cost-effective technology investments. 2. IT Operations Management: Manage and maintain IT infrastructure, including servers, printers, networks, hardware, and software, ensuring availability and performance. Replace and or repair defective parts and equipment. Oversee and ensure compliance with security protocols, disaster recovery and backup procedures. Maintain daily tape backups and offsite backup storage, ensuring data is stored securely. Ensure efficient incident management and support services for all IT-related issues, managing internal IT support teams and external vendors where necessary. Oversee rollout of new systems and upgrades to ensure minimal disruption of business operations. Manage IT asset inventories, licensing, and contracts. Manage user accounts, credentials, permissions, access rights and active directory administration. Assist with month end processing and be able to work after hours in case of system upgrades and maintenance. Travel to branch locations as needed 3. Team Leadership & Development: Lead, mentor, and manage the divisional IT team, ensuring skill development and performance management. Foster a collaborative working environment, encouraging innovation and efficiency within the IT team. Support career development and training initiatives to upskill team members. 4. Project Management: Lead IT projects from inception through to successful delivery, ensuring timelines, budgets and scope are adhered to. Liaise with stakeholders to ensure projects are aligned with business needs and objectives. Ensure post-implementation reviews are conducted to assess the effectiveness and impact of modern technologies or systems. Translution installation and support (Stock bar coding system) Successful implementation of SYSPRO Provide job-specific (customized) SYSPRO training for end-users. Assess the use of SYSPRO and implement changes where processes are not in line with expected business processes. 5. Data Security and Compliance: Ensure that all IT systems comply with relevant industry standards, legal and regulatory requirements. Implement and maintain cybersecurity measures to protect the division's IT environment from threats. Oversee GDPR and data protection activities, ensuring proper management and security of sensitive data. Maintain software and hardware registers and ensure full compliance as per company policies with regular audits on all PC's and laptops as well as monitoring internet and email usage. 6. Vendor Management: Collaborate with third-party vendors, ensuring that service level agreements (SLAs) are met and reviewing vendor performance. Negotiate contracts for IT services, software, and hardware, ensuring best value for the division. In critical areas such as server rooms, including service level agreements hardware and software subscriptions where needed. Strong procurement knowledge with regards to purchasing IT equipment (hardware and software). 7. Continuous Improvement: Identify opportunities for technology-driven process improvements and implement solutions to enhance operational efficiency. Stay abreast of industry trends, emerging technologies, and best practices, incorporating them into the divisional IT strategy where applicable. Matric Bachelor's degree in information technology, Computer Science or related field would be beneficial. SYSPRO certification (Finance, Manufacturing, Distribution, Administration, VB Scripting) Microsoft SQL Server (including SSRS) SYSPRO 7 & 8 implementation and administration (Min 3 yrs exp) with IT support exp (Min 5 yrs) Basic SYSPRO customisation (including e.Net, SRS and VB scripting) Implementing BI solutions Networking and active directory experience is essential with knowledge of HYPERV and virtual servers. MS Office 365 and MS Office experience is essential. Unendorsed drivers' licence Knowledge and Skills: Strong leadership and team management skills. Exceptional understanding of IT infrastructure, networks, hardware, software, and cloud technologies. Solid project management experience, with the ability to manage multiple projects simultaneously. Strong problem-solving skills and a proactive approach to identifying solutions. Excellent communication skills, with the ability to interact effectively with both technical and non- technical stakeholders. Experience with IT security management and disaster recovery planning. Familiarity with IT governance, compliance, and legal frameworks (e.g., GDPR, ITIL).
