Responsibilities
Sourcing
Utilize the internet and qualified platforms to source products.
Research and analyze product nature, variables, and components.
Source new suppliers and negotiate competitive pricing.
Navigate to obtain relationships with front-end suppliers.
Maintain a comprehensive database of supplier capabilities and contact details.
Document management by ensuring that data is updated correctly in Google Sheets.
Neutralize supplier specs and photos and store them in folders for the sales team.
Support the Global Sales team with supply availability and cost pricing within the deadline.
Provide courier shipping costs and estimated transit time to the sales team.
Capture and maintain data.
Research internal and external data to determine market pricing guidelines.
Liaise daily with US-based management, requiring availability by phone and email outside normal business hours on a regular basis.
Procurement Assistance
Build relationships with vendors and key suppliers to develop supply sources and pre-qualify vendors.
Negotiate pricing and control costs.
Develop a yearly budget depending on sourcing needs.
Execute analyses and make suggestions for improvement of the overall sourcing strategy.
Plan and manage the company's overall sourcing strategy.
Write sourcing documentation and statements.
Answer queries and handle requests related to purchasing which includes problem-solving and judgment.
Collaborate with key persons to ensure clarity of the specifications and expectations of the company.
Analyze purchase requests for the best possible purchasing method, pricing, terms and conditions, quantity discounts, quality, service, and delivery efficiency.
Finalize purchase details of orders and deliveries.
Review questionable invoices with vendors.
Ensure established policies and procedures are followed and are in compliance with established methodologies and quality standards.
Ensure records are accurate, produced on time, up to date, and in the required format.
Team Management
Supervise a global team of sourcing specialists.
Provide leadership by giving team members clear work objectives and expectations of the performance levels required.
Ensure training is provided in accordance with future needs.
Ensure adequate staff coverage at all times including coverage for schedules.
Generate and analyze metrics and KPIs to monitor performance.
Your Day to Day tasks:
1. Building Vendor Relationships: Regular communication with vendors and suppliers to establish and maintain relationships. This could involve visits, calls, or emails to discuss products, pricing, and terms.
2. Negotiating Pricing and Cost Control: Analyzing pricing structures, negotiating contracts, and seeking cost-saving opportunities to ensure the company gets the best value for its purchases.
3. Budget Development: Working with stakeholders to understand sourcing needs and develop a budget that aligns with the company's overall financial goals.
4. Sourcing Strategy Execution: Implementing and refining sourcing strategies based on market trends, supplier capabilities, and internal requirements.
5. Documentation: Writing and maintaining sourcing documentation, such as contracts, agreements, and statements of work.
6. Handling Purchasing Queries: Responding to queries related to purchasing, resolving issues, and providing guidance on purchasing processes.
7. Collaboration: Working closely with key stakeholders, such as department heads, to understand their sourcing needs and ensure alignment with overall company objectives.
8. Purchase Request Analysis: Reviewing purchase requests to determine the best purchasing method, pricing, terms, and conditions.
9. Purchase Finalization: Finalizing purchase details, issuing purchase orders, and coordinating deliveries.
10. Invoice Review: Reviewing invoices to ensure accuracy and resolving any discrepancies with vendors.
11. Policy Compliance: Ensuring that sourcing activities adhere to established policies, procedures, and quality standards.
12. Record Keeping: Maintaining accurate and up-to-date records of sourcing activities, ensuring they are produced on time and in the required format.
13. Team Management: Supervising a global team of sourcing specialists, providing leadership, setting clear objectives, and ensuring adequate training and coverage.
14. Performance Monitoring: Generating and analyzing metrics and KPIs to monitor the performance of the sourcing team and identify areas for improvement.
The ideal candidate will possess:
1. Minimum 5 years of international sourcing/procurement, and/or other technically relevant work experience.
2. Knowledge of sourcing and procurement techniques as well as a dexterity in “reading” the market to make quick decisions on purchasing.
3. Demonstrated ability to communicate clearly and concisely both orally and in writing, and lead presentations, training courses, and effective meetings.
4. Ability to lead and manage a global team of Sourcing Analysts.
5. Strong analytical, negotiation, and computer skills, as well as international purchasing experience.
6. Knowledge of a purchase order system and tracking such as Oracle, SAP or similar ERP system.
7. Bachelor’s degree or equivalent work experience.
8. Professional or Fluent English skills.
